Sometimes there are users in our organization that maintain our finance department and they looks after the number of transaction like payable and receivable. So for that users other screen are not important to be visible and also they may not know about other screens functionality, so we can prevent them using those other screens.

New Stuff: Errors during load Customized Box

For e.g. we can make the screen visible only for admin user.

Step 1:- Open a module for which we need to make changes.

E.g.:-c:\dev\GD

Step 2:- selecting the grp file of the module

We can find the file in directory above: c:\dev\GD\source\eng\resource

Step 3:- Adding a code for making the screen visible to admin only.

Change the value of “rsc” as admin so only admin user can see this screen.

Step 4:- Adding the files to the ERP.

After the code is added to the grp file, make the project, resource and INIT view. The newly generated file can be found at path “C:\Dev\GD\build32\runtime\”. Now copy all the recently updated files from the runtime folder and paste it in the Sage 300 Programs directory under GD67A folder.

Step 5:- Login sage 300 with admin user and activate the GD module from data activation. The screen is visible to only admin user.

Sage 300 provides an SDK using which a developer can customize an existing OCX screen. This customize screen needs to be upgraded with a higher version of sage 300 when passes years. When we want to upgrade this customize source code with a higher version and opened customize code in VB then sometimes error occurs “Errors during load CustomizedBox”.

Below are the steps to resolve Customized box error

Click “Ok “on pop-up screen and open the source code.

Right click on ACCPACUICustomizeBox( ACCPACUICustomizeBox.frm) then click on “Remove ACCPACUICustomizeBox.frm”.
Then click on OK and then click on save button on window.

Right Click on Accpac(Module name) then click on Add then click on Form.

Select ACCPACUICustomizeBox and click on Open.
Save the changes and Reopen the project. The error will have been resolve.

Sage 300 People has a feature wherein employees can upload an attachment while applying for leaves. As per the configuration system will give warning, allow or block the leave application. Below are the scenarios mentioned to achieve the same.

Scenario 1 :- If you want application to allow a leave to be applied without an attachment, but you also want application should give a pop-up warning message then the Severity field should be set as Warn as highlighted in the below snapshot.

Scenario 2 :- If you want application to allow a leave to be applied without an attachment then the Severity field should be set as Allow as highlighted in the below snapshot.

Scenario 3 : – If you want application to block a leave if attachment is missing, then the Severity field should be set as Stop as highlighted in the below snapshot.

Hence by following the above mentioned steps a company can make sure employees are attaching the supporting documents wherein applicable.

We have become familiar to the Sage 300 Cloud version of ERP. There are many aspects and functionalities that we come across in this version of Sage 300 ERP. But during all this process, there could be some concerns that we face sometimes while using the software. One such error that a system throws during the time of login could be as given below. The error “Error HRESULT E_FAIL has been returned from a call to COM component”!!

HRESULT-E_FAIL-Error

This error can occur due to following reasons.

Inaccessible Database.
Stopped SQL Services.
PORTAL database not available.
Desktop modules activated with incorrect versions.
NO Read & Write permission for user IUSR & IIS_IUSRS in folder ‘Online’ of Sage Application program folder.
‘w3wp’ stuck process.

Lets check solutions with respect to above scenarios.

Inaccessible of Database and Stopped SQL Service

Please follow some simple steps to fix this problem.

Step 1. Press Win+R and type “services.msc” and press Enter. Step 2. Find “SQL Server” and change status from Stop to Start or Restart

SQL-Services

Step 2. Make sure SQL Server service should be always in running mode.

Step 3. Login in to Sage 300 Web Screen

PORTAL database not available

Step 1. Click and Configure ‘Portal’ in Database Setup.

Along with filing and receiving IRN, we have recently come up with new enhancement that will allow an organization to cancel the generated IRN number for the already filed invoice. The seller can cancel the IRN for an e-invoice by reporting it on IRP within specified amount of time. We have introduced this feature as amendment of invoices is not possible through the IRP. There can be several reasons and factors that a seller needs to cancel the filed invoice. Lets have a look at the factors in brief and how our new screen can help in making the proces facter and easier.

Why Cancel IRN?

IRN can be cancelled under following situations:

Filed invoice contains data entry mistake (wrong document date, incorrect document, number, incorrect item quantities).
Desired invoice was not supposed to be filed on IRP portal.

When to cancel?

Generated IRN should be cancelled within 24 hours.

Cancel IRN in Sage 300 ERP:

Sage 300 ERP provides solution for cancelling IRN through IRP portal using below screen which is present under GST module.

There is separate screen for IRN Cancellation present under GST Module à E-Invoicing. User will have selection filters like Transaction Type, From and To Document, From and To Customer for the IRN generated documents that need to be cancelled. Following response received fromIRP portal will be generated and stored a in log file on successful IRN cancellation.

Note:

Once Invoice number is cancelled the seller cannot file the same Invoice Number again.
Partial cancellation of e-Invoice is not allowed.
Cancellation of IRN to be done within 24 hours of its generation.
A credit note needs to be passed in ERP against the cancelled invoice which in turn needs to file on IRP portal.

Thus this will make the process easier and user friendly to the Sage 300 ERP users with Cancel IRN feature

As we know Barcode Scanner (mention link if we have any blog on this) is implemented as an Add-on in our Sage 300 ERP which helps users to perform physical inventory count more easily, quickly and more accurately. Scanning the Barcode of an Item gives information about that item such as its Name, Price, etc. And once a Barcode is scanned with the Barcode Scanner, the data is translated into readable information. This seems much simpler than keying in the information manually.

New Stuff: IRN Cancellation in GST E-Invoicing

We have recently introduced a new screen which can print Barcode labels in the provided Barcode Print screen. This requires a Barcode Label Printer for the users to be able to print the Barcodes.

The print of Barcode structure has 4 parts:

Part Number – This is Item Number from Sage 300 ERP Item Number Master
Invoice Number – <Describe>
Quantity – <Describe>
Lot Number – <Describe>
Lot Quantity – <Describe>

Here, user has to manually select the Item, enter quantity, enter Invoice Number (Optional) and how many lots to be created for the selected quantities and click on Print button. The system will then process and generate those many lot numbers for the selected item. The user can repeat the same process for different set of quantities. Lets have an example to understand this process:

If the Shipment is arrived with 5 boxes of 50 units , 2 boxes of 20 units and 1 box of 10 units, then the user will first select the Item number, set quantity as 5 and Lot Quantity as 50 à Click on Print. Then do the same process but change the quantity as 2 and click on process. At last user will repeat the process where in he will set the quantity as 1 and click process.

Lot Numbers will be generated when we click on Print button thereby generating and printing the required labels. These printed labels will then be used by users to stick on the relevant packages and then accordingly will get scanned at the time of processing GRN entries. With the help of this customization of printing Barcode labels, users can generate labels for Lot Items hassle free and more easily. It helps users to keep track of generated Barcode Labels as well. This can be further customized as per requirement as well, whether to include Lot numbers, Document numbers, etc or not.

New Stuff: – Printing Labels with Barcode Scanner in Sage 300 ERP

In this blog, we will introduce the Inventory format report where the user can use this utility to export the data from Sage 300 ERP systems. This format will consist of Purchased/Stocked Material master data, Supplier master data, Purchases and Receipts detail, Inventory/Stock detail, Supplier Payments detail, etc. Below Filter criteria will be used by the end user to generate the Inventory report.

From and To Receipt Date

The report data will be produced as Text and CSV (comma-separated values) exported file based on the user-specified Range of Receipt Date.

Please refer below screenshot of the user interfaces for the “Inventory Format”.

As you can see in the above screenshot user will be able to specify ‘From’ and ‘To’ Receipt Date. Based on the same, the report will generate required data in Text and CSV (comma-separated values) format at desired path which user will enter in the ‘File Path’ field (as can be seen in above screenshot). On the click of Browse button, user can select the desired path.

After entering the file path as well as range of Receipt Date user will be able to export the data.

This feature is used when the user wants to upload the employee photo or need to update the existing photo on the employee page in Sage 300 people.

For adding a new photo and to update the existing photo, a user needs to access the same screen.

The Prerequisites before uploading the photo are as follows: –

Dimensions required for uploading the photo are: 101*150 px
The upload image format should be JPEG, PNG, GIF or Bitmap.
The photo name must be: IDNumber.JPG

A user can add employee photo using employee management page or though bulk by using standard import utility.

Steps for adding/ updating the Employee photo using employee screen: –

Navigation: – Employee Management > Employees > Select Employee > click on Employee Detail > click on Basic Information > click on Load button or right-click in the No Image data

Browse to the location of the photo, the photo is located on the Pictures folder named 7508229999011.jpg

Select the image file from the folder as shown above, after selecting the image click on Open button. Then click on Save button as shown in below screenshot.

Employee photo will get displayed in the highlighted area as shown below.

2) Steps for adding/ updating the Employee photo using Import Utility: –

Navigation: – Utilities > Bulk Employee Update > Select Import Employee Photos > Select the Company Rule you want to Import the photos to then click on Refresh & Search > Select the Update Option.

The below screen will pop up where you need to select Yes.

You can now browse to the Directory that your photos are in and click on Import Photos

Once the upload is completed system will give you a message stating the photos are successfully uploaded

So this is how the Employee photo can be added/updated by the admin users using employee management sccreen or using import utility.

As we all are aware that in Sage 300 we can create Custom views, in this blog we are going to discuss something about it. Before creating a view we need to create a folder necessary for it to store the files after making a view.

New Stuff: Sage 300 Error: Can’t create control

Sometimes while making a view, fatal error occurred ‘link’: return code ‘0x450’. Please refer the below screenshot.

By looking at this error developer did not understand what the error is, so check the error file on the path where the error log file is generated like here path :- “c:\Dev\gt\source\eng\resource”

Below is the screenshot of the error file:

There are more chances where a developer misses a minor change that is required for view creation. After the make command the dll gets created, but if the specific folder is not available then this error can occurs.

Here in this case the Eng. folder is missing. The developer needs to verify the folder structure in order to avoid those kind of errors.

Sometime while making a view fatal error occurred ‘link’: return code ‘0x460’

Below is the screenshot of the error:

By looking at this error developer did not understand what the error is, so check the error file on the path where the error log file is exist.

Solution:

Open views folder and .C file and search vsnprintf

Change vsnprintf to printf and save the file.

Make the view again and the error you were facing earlier must have gone.

Run again same command to make it will successfully make the view.

New Stuff: License could not be found error in sage 300.

Navigation for the report:

You can get this report for range of Invoices using O/E forms à Invoices.

We can customize the OE forms – Invoices report “OEINV01.rpt” to track the below information for the Order Entry Invoices.

This standard form displays the Invoice information along with item details, total, taxes and discounts. But we can enhance it to further accommodate more data and can make it more presentable along with additional information.

We can link and present below information related to a particular invoice to represent the detail information about its status.

Prepayment received for the Orders against which this invoice is created.
Prepayment received for that particular invoice.
If it has been processed to day end and posted then we can track A/R Receipts transactions made against this invoice such as A/R Receipts, Receipt-Prepayments, and Receipt-Applied Documents etc.
Also we can track any reversal entry that might have been made to reverse the payment received against invoice by using Bank Reversals.
The report can be further customized to display the invoice totals, less Payments as (Prepayments received against OE Order/Invoice + A/R Receipt(s)) – Bank reversal if any and can further displays the balance to be receive against that particular invoice.

Note:

The report can be customized as explained above with no additional parameters so there will be no change on user interface.

The customized report form can give you exact figures invoice status as Invoice value, its total “A/R Receipts”

There may be number of possible causes in which after installing Sage 300 custom mod user may face issue or get error while activating the mod. In this blog we are going to discuss regarding one of the possible cause of the issue and resolution for the same:

New Stuff: Error occurred during the installation process

Recently, we did worked on custom mod for one of our client and they were getting the issue while activating this custom mod. Issue was related to custom views were not getting activated, the custom mod as shown in the screenshot below:

We observe that this issue is most probably occurring with the older versions of Sage 300 i.e. v2018 or prior.
In this case installing a workstation setup works perfectly as it resolved the issue we were facing while activating the custom module.

This was environmental issue and was occurring only in the Server-Workstation environment

Resolution: In this case we have one workstation setup on installing the same on server and each workstation the above issue gets resolved.

Notes:

This can be one of the reason for failure in activating custom mod. There can be other reasons that may cause the similar issues.

When you try to activate module from Data Activation screen then error screen appears like below.

Error Message: Internal error at 2492 in asactmul1.C. Problem loading ‘C:\Program Files(x86)\Sage\Sage 300 ERP\GD68A\GDINIT.DLL’

Follow the below steps to resolve the error

Go to the path C:\DEV\QF\SOURCE\VIEWS and open the GDINIT.MAK file in notepad. (ModuleId+INIT.MAK).

Uncomment the LOPTS line and again make the view using following command.
MAKE GDINIT –a (MAKE viewname –a)
Again comment the lines and save for old data activation method. This solution resolves the error.

New Stuff: Pricelist Update utility for all open orders in Sage 300

Pop up screens are opened with errors when developers try to run the Exe in VB. These popup errors might be Test EXE or Customized Box related. Here we will discuss how to resolve Test EXE related error.

Below are the steps to resolve this error

Click “Ok “on pop-up screen and open the source code.

Double click on TextEXE then form will appear.
Right click on the form and delete the existing blank form.

You will see the form like above.
Place the new component on the Form.
Make sure new TextEXE has top left must be 0.

When you run the code now Compile Error popup will appear.
Just copy the ACCPACUIControl1 (highlighted name) stop the program.
Rename the ACCPACUIControl to ACCPACUIControl1 under the Text EXE.
Run again and you will see the issue is Resolved.

In sage 300 a user can use many companies at the same time, user just need to close the company which they no longer wants to use and open the company by clicking open company button at the top of sage 300.

Once you open a company in sage 300 you can see company’s full name or registered name on the top where all the modules are listed, but sometimes you will not be able to see company’s name there as shown in below screen shot.

If the company’s name is not visible, this could happen because while creating company the user did not write company’s full name.

This could be easily resolved, to resolve this issue navigate to company profile screen, click common services>> company profile.

You can update the company name under ‘doing business as’ field. Please check below screen shot for reference.

Once company name gets updated just close and open the company it will start reflecting on sage 300 home screen as well as shown in below screen shot..
