Migrating Customer Ship to Address from Sage 100 ERP to Sage 300

In the below screenshot you can see the Customer Ship to Address of Sage 100 ERP. To view the Customer Ship to Address of Sage 100 ERP follow the below mentioned path:
Sage 100 ERP -> Accounts Receivable ->Main ->Customer Maintenance ->More (Click on drop-down) ->Ship To Address


After the conversion, the data is converted as below in Sage 300 ERP
You can view Customer Ship to Address in Sage 300 from the following path 
A/R Customers -> Ship-to-Locations ->Click on finder as shown in the below screenshot -> Select a customer-> Click open

In this way, Sage 100 ERP Customer Ship to addresses are migrated into target Sage 300 ERP company database.

Solution for a4wcrInterop.DLL Issue in Sage 300 ERP

While working with Sage 300 environment, many times we encountered an issue related to a4wcrInterop.DLL at the time of exporting / previewing customized reports.
New stuff:-Migrate Purchase Order from Sage 50 CAD to Sage 300 ERP
Refer below screen shot in which we have faced DLL issue while click on export icon.

Solution:
To oversome this issue you need to copy the a4wcrInterop.DLL which is exists in Run time folder (Sage300–>Runtime) and paste it into the folder where .exe get exists. (Refer below screen shot)

After copying respective DLL in required folder issue will get resolved. (Refer below screen shot)

Barcode integration with IC Receipt Screen in Sage300

Use the I/C Receipts screen to:

  • Enter and post new receipts of
  • Enter returns and adjustments to incomplete receipts you posted previously.
  • Change the status of incomplete receipts to Complete.
  • Import receipt transactions from other Sage 300 ERP databases or from non-Sage 300 ERP programs.
  • If you use Serialized Inventory and Lot Tracking, assign serial numbers or lot numbers when you receive serialized or lotted items.

When you specify the quantity for a serialized or lotted item in a detail and then tab out of the quantity field, the respective Serial/Lot Numbers Allocation or Generation screen appears. You use it to assign the required serial numbers and lot numbers to items in the detail line.

In this blog, we will discuss about below customized IC Receipt screen which we have customized and how it helps the user to find item number, the LOT number of item etc.

To navigate the screen:-

  • IC Inventory Control –>I/C Transaction –>Receipt Entry

Let’s take an example to the explained purpose of this blog.

Suppose At the time of creating IC Receipt Entry we have item number (A1-900/L) at detail line and on the click of an F6 button below popup Window will be open.  (Refer Below screen)

Customized window:-

On the click of F6 button, we will open above the window with the same details which present on IC Receipt detail level like item number.

If the selected item is a combination of the Serial number then serial number textbox will be enabled then we will scan a serial number of the item and that will be updated under serial number field and other LOT number textbox will get disabled.

If the selected item is a combination of LOT number then Lot number textbox will be enabled then we will scan Lot number of the item and that will be updated under Lot number field and Serial number textbox will get disabled.

Note: – the user can manually assign Quantity to Lot number

Change Navigation images and Background images of module in Sage 300 ERP Web screens

We have seen earlier that Sage 300 2018.2 has introduced vertical menus with the functionality of expand and collapse.

New Stuff: Complete web based solution for document attachment in Sage 300c

When we create a custom module, sage 300 wizard generates the folder under web application “\Content\Images\Nav\”.

The images related to custom module stored in the project specified in the above path gets copies to the Sage 300″\Online\Web\External\Content\Images\nav\” directory.

Note: Before making changes to any existing data/content, make sure to take the backup of the files.

Sage 300 Web has an option to change the Menu Icon and Menu background image of any module in Sage 300 ERP Web screens without making changes in the source code.

Follow the below steps to change the image and icon:

Step 1:

  1. Standard Module: Locate the “[Sage 300 Programs Path]\Online\Web\Content\Images\nav\” on the server.
  2. Custom Module: Locate the “[Sage 300 Programs Path]\Online\Web\External\Content\Images\nav\” on the server.

Step 2:

  1. Locate the XML file of the menu details for the respective module where the images needs to be changed.
  2. Navigate to “[Sage 300 Programs Path]\Online\Web\App_Data\MenuDetail\” on the server.
  3. Edit the file in the text editor. Example: For Order Entry module “OEMenuDetails.xml”, where OE is the module Id.
  4. We will see the example of the Greytrix Document Attachment Module “GD” → “GDMenuDetails.xml” and Order Entry Module “OE” → “OEMenuDetails.xml” in the next steps.

Step 3:

  1. Search for XML Node <MenuItemLevel>2</MenuItemLevel>.
  2. Under the same level there will be <IconName> and <MenuBackGoundImage> nodes with path format “DevPartner/ImageNameWithExtension”.
  3. Standard module of the Sage provides the module identifier as the folder name for DevPartner

         <IconName>OE/icon_oe.png</IconName>

         <MenuBackGoundImage>OE/bg_menu_oe.jpg</MenuBackGoundImage>

   4. DevPartner for Custom module is decided by the development team while module development. It           can be module identifier as followed by Sage or the one supplied by partner. We are using “Greytrix”         as the DevPartner.

Step 4:

      User has an access to either change the name of the image in step 3 or overwrite the existing image in  step 2 with same name.

This provides the user to customize the navigation icon and image as per the company/user comfort using the Sage 300 Web screens.

Alternate solution to license issue of multicurrency database in Sage 300 ERP

While opening the Sage 300 ERP, many times we are facing an issue related to the multicurrency database. In our previous blog we have provided you the solution to resolve the error Solution to license issue of multicurrency database in Sage 300 ERP.

New Stuff: Change Navigation images and Background images of module in Sage 300 ERP Web screens

In this blog we are going to discuss the alternate solution to resolve this issue in detail.

Solution :

  1. Go to the Program Directory i.e. C:\Program Files (x86)\Sage\Sage 300 ERP\Runtime where Sage 300 is installed and search the executable exe. 
  2. Double click on A4WLicMgr 
  3. Click on Licenses tab and check “Multicurrency Option” activated, since Multicurrency Option should be activated to use multicurrency database. 
  4. If “Multicurrency Option” is not activated then activate the same. 
  5. After activating open command prompt as Administrative right and run regacc command and after that login Sage in Administrative right.
  6. In this way you can can resolve the Multicurrency database license issue.

Global Search feature in Sage 300 ERP 2019 Desktop

Sage 300 has introduced new feature called Global Search with its latest release of Sage 300 ERP 2019. This feature helps the user to quickly search for the data (transactions) from company database.

Global Search is available only if it is selected during the installation of Sage 300 ERP 2019. The files related to the feature are available under GS directory at Sage 300 installation path.

New Stuff: Alternate solution to license issue of multicurrency database in Sage 300 ERP

“Global Search” option is available in “Help” section of the Home tab. It is located under “Live Chat” option on Sage 300 2019 Desktop.

Click on “Global Search” to open the screen.

“Refine Search By” section has a tree like structure to specify the area for searching the content from the database entered in the search box.

For instance, we have selected the “Order Entry” Transaction as our search area and searching for content “1200”.

Click on the magnifying glass icon to begin the search operation.

Search results will be displayed to the right section of “Refine Search By” with the navigation path to the screen and related summary information.

Sage 300 directly allows the user to open the screen by clicking on the title link of each search result (similar to drill down functionality).

Below is another example where we have changed the “Refine Search By” selections but searching for the same content. User has an ability to select either specific or all the options as per the requirement.

In the above example we have only results from “Order Entry” Transaction but in below example we can clearly see that results are displayed from the multiple areas of Sage 300. Drill down functionality is available for all the search results irrespective of the selection criteria for refining.

So, Global Search is very helpful when we have some content that we need to find and doesn’t have knowledge about the presence of the same Sage 300 ERP, it will list all the areas as per the selection and provide direct drill down feature to open the same.

Global Search feature in Sage 300 ERP 2019 Web Screen

We have seen earlier that Sage 300 ERP 2019 has introduced new feature called Global Search for its Desktop version. Same feature is available in the web screens of v2019.

New Stuff: Global Search feature in Sage 300 ERP 2019 Desktop

“Global Search” option is available just before the “Help” option displayed as the magnifying glass icon with Search text beneath it.

Click on “Search” icon to open the screen.

We have seen “Refine Search By” section in the Desktop version. In web screen, it is replaced with the Gear icon attached to the left of the search box. Refining options can be selected by just placing (hover) the cursor on the icon. Required selection needs to be done before searching. By default All options is selected.

 

For Example, we have selected the “Order Entry” Transaction as our search area and searching for content “1200”.

Click on the magnifying glass icon to begin the search operation.

Search results will be displayed just below the search box i.e. below the header of the screen. Results are same as that of Desktop with drill down functionality.

Lets consider another example, where we have changed the “Refine Search By” selections but searching for the same content. User can select as many options required from the list of check boxes available.

In the above example we have only results from “Order Entry” Transaction but in below example we have results from Customers, Accounts and Vendors as per our selection.

 

So, when user have some information about the transactions or have some kind of data available in Sage 300, Global Search proves to be very helpful to find the presence of the same and perform the further operations on the search result using the drill down feature to open the screen.

Export Declaration Number field in OE Invoice Entry in Sage 300 2019

Sage 300 introduced new feature called Export Declaration Number with its latest release of Sage 300 ERP v2019.

New Stuff:  Global Search feature in Sage 300 ERP 2019 Web Screen

In earlier versions of Sage 300 the Export Declaration Number was available on O/E Invoice Entry Screen Header section under Taxes tab only, now we can assign the Export declaration Number individually for each item.

This information is required for tax purposes in some jurisdictions (such as Malaysia and Singapore). In sage 300 this field can take alpha-numeric value up to 30 characters and can be specified/edited by the user any time.

The Export declaration Number is available in 2 places in O/E Invoice Entry Screen for Item wise entry.

  • Details table on the Invoice tab of the O/E Invoice Entry screen.
  • O/E Items/Taxes screen (in classic screens).

Resolution of Product license issue in Sage 300 v2019 in workstation

As you know the workstation installation process is same in sage 300 ERP but in release of sage 300 v2019 some changes has been done in workstation installation process.

New Stuff: Export Declaration Number field in OE Invoice Entry in Sage 300 2019

In sage 300 v2019 in workstation, sometimes we are facing below error related to product license in workstation. In this blog we are going to discuss the solution of this error.

Solution:

  1. Make sure user have given full rights to sage 300 folder on server.
  2. Make sure user have activated the System Manger module in sage 300 v2019.
  3. We have to check Sage 300 Shared Data directory path in the registry in workstation, (Go to Start, Run and type regedit). 
  4. For 32-bit environment navigate to :-
    HKEY_LOCAL_MACHINE\SOFTWARE\ACCPAC International, Inc.\ACCPAC\Configuration
  5. 64-bit environment navigate to :-
    HKEY_LOCAL_MACHINE\SOFTWARE\Wow6432Node\ACCPAC International, Inc.\ACCPAC\Configuration
  6. Then user need to update the path of the Sage 300 folder of the Server in Shared Data and Server Programs in workstation. In server Programs update the path of sage 300 folder and in Shared Data update the path of sage 300 shared Data folder. Refer below screenshot.
  7. After this login Sage 300 as Administrative right.

In this way you can resolve the product license error in workstation in sage 300 v2019.

Barcode integration with IC Adjustment Screen in Sage300

Use I/C Adjustment screen to:

  • Adjustment Number (a number to distinguish the transaction from other adjustments for audit control purposes).
  • Description (add any information you want about the adjustment; optional).
  • Adjustment Date (to which you want the transaction posted).
  • Year and Period (to which you want the transaction posted).
  • Reference (for example, the reason for the adjustment, or the purchase order number or invoice number; optional).
  • Optional Fields (add optional fields to Adjustments using the Optional Fields screen in the Setup Folder; optional).

When you specify the quantity for a serialized or lot item in detail and then tab the quantity field, the respective Serial/Lot Numbers Allocation or Generation screen appears. You can use it to assign the required serial numbers and lot numbers to items in the detail line.

In this blog, we will discuss about below customized IC Adjustment screen which we have customized and how it helps the user to find item number, the LOT number of item etc.

To navigate the screen:-

  • IC Inventory Control –>I/C Transaction –> Adjustment Entry

Let’s take an example to the explained purpose of this blog.

Suppose at the time of creating IC Adjustment Entry we have item number (A1-900/L) at detail line and on the clicking of an F6 button below popup Window will be open.  (Refer Below screen)

Customized window:-

On the click of F6 button, the above window opens with the same details which present on IC Adjustment detail level like item number

If the selected item is a combination of the Serial number then serial number textbox will be enabled then we will scan a serial number of the item and that will be updated under serial number field and other LOT number textbox will get disabled.

Open  50 US –> Report & Form –> Inventory –> Inventory Valuation Report

Enhance Security in General Ledger in Sage 300 v2018

With the release of new Sage 300 version new Security feature implemented in GL Accounts setup. This security will allow to restrict the access of particular GL account to Sage 300 users. It helps to maintain the confidentiality of GL Accounts i.e. bank Account, Payroll account etc. and it will also minimize the risk of unauthorized activity.

New Stuff:Barcode integration with I/C Transfer Screen in Sage300

  • To Activate GL Account security first go to General Ledger à GL Setup –>Options.
  • Open GL Option screen.
  • Go to Account Tab.
  • Tick Check box naming as “Use G/L security”
  • Once user check this option one field will get display on screen as “ Default Access”
  • Select All Account from dropdown list.
  • Save record. 

    After saving this record user need to logout the sage 300 and Login again to activate the Account Permissions in GL Account.

    First we will look in to the GL Account before logged out sage 300 and after saving GL security mentioned in above screen.

    Here you can see there is no Account permission screen is present before logged out the sage 300 so to activate this security user need to re login the sage 300.

    • After Re login the sage 300 user can check the new addition of security screen in GL Account.

    Open “Account Permissions” screen and enter or select the User ID to whom you want to restrict the particular GL accounts.The permissions per user can be set by segment or by account.  If the default in GL Options is set to ‘All Accounts’, enter accounts or segments that the user should not be allowed to access.  If the default is set to ‘No Accounts’, enter accounts or segments that the user should be allowed to access. 

    Here we restricted Account number 1000-1021 for the user “Sales”. Once these new permissions have been saved, the user will not able to see the affected GL accounts at all in any screen, including finders.  If they manually type in a GL account number that they do not have permissions for, an error message will be displayed as “You are not allowed to retrieve Account”.

    Login sage through restricted user i.e. here we are login sage 300 using “Sales” user and open any screen and select the restricted GL account. You can check below the GL Account 1000-1021 is not even list out in finder as well if user tries to enter it manually then system is showing restriction message. 

     

    This is a powerful security feature to protect your General Ledger.

Database Error 49153 in Sage 300 ERP Workstation

While trying to login to your Sage 300 Company on Sage 300 workstations, sometimes users face an error “Database Error 49153”.

New Stuff:Enhance Security in General Ledger in Sage 300 v2018

In this blog we are going to discuss the solution to resolve this error in detail.

Solution:

  1. Go to registry by typing regedit in run.
  2. Navigate to HKEY_LOCAL_MACHINE-SOFTWARE à Wow6432Node à ACCPAC International, Inc. à ACCPAC à
  3. Need to update the path of the Sage 300 folder of the Server in Shared Data and Programs. Refer below screenshot.

On server open “SQL Server 2014 Configuration Manager” and expand “SQL native Client 11.0 Configuration” option. Click on “Client protocols” and check “Shared memory”,” TCP/IP” and “Named Pipes” is Enabled or not. If this protocol is disabled then make it Enabled. After that expand “SQL Server Network Configuration” Click on “Protocols for SQL2014” and check “Shared memory”,” TCP/IP” and “Named Pipes” is Enabled or not. If this protocol is disabled then make it Enabled. Refer below screenshot. 5. Click on “SQL Server Service” and restart the SQL Server (SQL2014) service.

6. On workstation login sage 300 as Administrative right.

In this way you can resolve Database Error 49153 issue on Sage 300 workstations.

Now here, in the below screenshot you can view the migrated bank as ‘PETTY’ having account number ‘1000-10’.

Customized Gl transaction Listing Report

The G/L Transactions Listing report lists the net changes, balances, and transaction details for accounts in a range of fiscal years and periods you specify.

To print the G/L Transactions listing report:

  • Open General Ledger > G/L Reports > Transactions Listing.
  • Specify the order in which to sort transactions.
  • You can sort transactions by account number, by a particular segment (such as department or region), by account groups, or by account sorted groups.
  • If printing one particular division or region, you should sort by the division or region segment.
  • Specify the range of fiscal years and periods to print.

New Stuff:- Migrate Bank Opening balance from Sage 50 US to Sage 300 ERP

In the Date field, specify the type of dates to print on the report: document dates or posting dates but we have customized Gl transaction Listing Report so that user can print Report using customized UI.  (Refer below Output of the Gl transaction Listing Report)

To print Gl transaction Listing Report we also have provided a customized user interface with an option from and to date, from and to Account date same as follows:-

As you can see in the above screenshot, only date and account number have been provided in the finder.  So the report was printing data from the beginning till the specified date also modified printed data in the customized Report as data like Account number, Account description, Year, Journal description date, credit as well Debit amount etc.
