Sage 300 – Order Entry – Invoice Summary Report

In this blog we are going to discuss about the new custom “Invoice Summary Report” which we have developed for one of our customers. This is showing the summary of the OE Invoices posted within selected date range.

New Stuff: Customized Gl transaction Listing Report

The user interface for “Invoice Summary Report” is as displayed below. The report data will be produced as an MS-excel exported file based on the user-specified invoice date range. Please refer the screenshot of the user interfaces for “Invoice Summary Report”.

  • As you can see in above screenshot user will be able to specify ‘From’ and ‘To’ date on the basis of which Invoices get filtered by comparing Invoice date.
  • Lastly provided the “Browse” button to select excel file location and name to which data to be exported.

Working of the report:

  • Report will export the data on the basis of user specified input from the user interface.
  • Along with this report will display Customer wise and Salesperson wise subtotals and grand total at the end.
  • Please find below screenshot of exported file.

  • As displayed in the screenshot above the report displays Extended Amount for invoice and its extended cost i.e. “Cost of Goods Sold”.
  • Report will calculate the profit as Extended amount – COGS
  • Profit percentage will be calculated as Profit/ Extended Amount * 100.

So this report would be helpful to review the invoices on few clicks.

Sage 300 – Enhanced version of the export Open Orders Report

In our earlier blogs we have discussed about the export open order details program Export Open Order Details.

In this blog we are going to discuss about the enhanced version of the “Open Orders Report” which we have developed for one of our customers. The report will list the OE Orders which are either fully open or partially shipped.

New Stuff: Sage 300 – Order Entry – Invoice Summary Report

The user interface for “Open Orders Report” is as displayed below. The report data will be produced as an MS-excel exported file based on the user-specified order date range, Customer, Item and salesperson. Please find the screenshot of the user interfaces for “Open Orders Report”.

  • As you can see in above screenshot user will be able to specify ‘From’ and ‘To’ date on the basis of which orders gets filter by comparing order date.
  • Three options are provided for ‘Order Type’ i.e. “All”, “Partial Open” and “Full Open” based on this orders will be filter on the basis of last shipment number and backordered quantity.
  • Provision to select single salesperson or none: Orders will gets further filter on the basis of primary salesperson. If no salesperson is selected orders for all salesperson as well orders with no salesperson assigned will be considered.
  • Provision to select single Customer or none: Orders will gets further filter on the basis of customer. If no customer is selected orders for all customers will be considered.
  • Provision to select single Item number or none: Orders will gets further filter on the basis of detail line items. If no item is selected orders for all items will be considered.
  • Lastly provided the “Browse” button to select excel file location and name to which data to be exported.

Working of the report:

  • Report will export the data on the basis of user specified input from the user interface.
  • For Order type “All” report will export orders which are fully open or partially shipped.
  • Report will display the open order’s line item quantity, its extended price and Extended cost.
  • Along with this report will display order wise, Customer wise and Salesperson wise subtotals and grand total at the end.
  • Please find below screenshot of exported file.

Migrate Bank Opening balance from QuickBooks to Sage 300 ERP

Sage 300 2018 Release – Customized G/L Transactions listing Report

To print the G/L Transactions listing report:

Open General Ledger > G/L Reports > Transactions Listing.

Whether to print additional information on the report.

  • Accounts with no Activity. Include all accounts, even if no transactions were posted to them in the reporting period.
  • Quantity includes quantity data for transactions.
  • Optional Fields includes optional fields with the details of posted transactions.
  • Balances and Net Changes includes balances and net changes over the defined period for each selected account.
  • Posting Seq. and Batch-Entry includes posting sequence and batch entry numbers in the report.

As we have already posted a blog on Customized Gl transaction Listing Report and here we have come up with the Release Version Sage 300 V2018.

So let’s take short Overview of Customized G/L Transactions listing report

To print Gl transaction Listing Report we have provided a customized user interface with an option from and to date, from and to Account date same as follows:-

As you can see in the above screenshot, only date and account number have been provided in the finder.  So the report was printing data from the beginning till the specified date also modified printed data in the customized Report as data like Account number, Account description, Year, Journal description date, credit as well Debit amount etc.

Export Declaration Number field in AR Invoice Entry in Sage 300 v2019

Sage 300 has introduced new feature called Export Declaration Number with its latest release of Sage 300 ERP v2019.

New Stuff:  Sage 300 2018 Release – Customized G/L Transactions listing Report

In earlier versions of Sage 300, the Export Declaration Number was available on A/R Invoice Entry Screen header under Taxes tab only, now we can assign the Export declaration Number individually for each item.

This information is required for tax purposes in some jurisdictions (such as Malaysia and Singapore). In sage 300 this field can take alpha-numeric value up to 30 characters and can be specified / edited by the user any time.

The Export declaration Number is available in 2 places in A/R Invoice Entry Screen for Item wise entry.

  1. Details table on the Document tab of the A/R Invoice Entry screen.
  2. A/R Invoice Items/Taxes screen (in classic screens).

Improvements in Inquiry tool in sage 300 v2019 web screen

With the release of Sage 300 v2019 there is some improvements has been done in the inquiry tool in Sage 300 v2019 web screen.

New Stuff:  Export Declaration Number field in AR Invoice Entry in Sage 300 v2019

In this blog we are going to discuss the new improvements under inquiry tool. In Sage 300 v2019 web screen new improvement allow us to get the information of all the AR, AP, IC, OE, GL and PO related documents very quickly and effectively.

  1. Here is the below screenshot where we can find the Inquiry button. 
  2. The button click will further take us to the option where we can select AR, AP, IC, OE, GL and PO options to view the Documents. Here is the screenshot below. 
  3. For example Select “A/R Customers and Transactions (Fully Paid)” in data source after that we will get two options to filter the records. Here is the screenshot below. 
  4. Select one option for example select “Fully paid Customer Documents (Customer Currency)” option after that we will get the records. Here we can filter the records.
  5. We have filtered the AR Customer Documents (Fully Paid) with Customer No 1100. Here “Show grand Totals” option available to show the grand totals of all documents which we have filtered the documents. If we do not want to show the grand totals then we can uncheck the checkbox of Show Grand Totals option. Also we can save the filter query by using “Save Query”, also we can specify whether it is private (available only to us) or public (available to all users). 
  6. We can also export the records which we have filtered customer wise using export button.

User wise Language Setting in Sage 300

As we all are aware that the empire of Sage 300 has been spread across the whole world. Sage 300 made itself more user friendly in terms of regional language. This is what we will be discussing into this blog.

New Stuff: Improvements in Inquiry tool in sage 300 v2019 web screen

We will discussing about the user selectable language setting in Sage 300. This would be a really helpful feature of Sage 300 for those who has several remote offices in different countries may all need to access the same data, using different languages, and all at the same time.

An administrator can set up Sage 300 users within the same company to use different languages. Below are the setting needs to be performed.

Administrative Services -> Users.

Since we have changed the language for the user “Test”, we will now login the Sage 300 with “TEST” user and will check the impact of the same.

Below is the snapshot of the Sage 300 Desktop after we have logged in with the user “TEST”. The user “TEST” has French language selected in the users setting criteria hence when he logged in the Sage 300 he will be able to handle the Sage 300 in more fluent manner.

 

This feature would really help the users of a single company across the world.

A/R Documents Inquiry in Sage 300c

AR Document Inquiry displays the document information for a specified document number in a table format. This feature will helps in getting all available information in Accounts Receivable for a specific posted document including Batch details, applied document details, etc.

New Stuff:  User wise Language Setting in Sage 300

On Sage 300 Desktop an A/R documents inquiry screen is available, but in Sage 300c we have an Inquiry button in the Tools at left side of the home page. Using this Inquiry button we can navigate to the A/R Documents Inquiry page.

Go to Tools -> Inquiry Button -> Accounts Receivable -> Documents.

The Inquiry – A/R Documents window contains the three grid which gives an information of AR documents. On first grid lists the AR documents according to filter condition applied on filter panel, which has one line summary information like Customer Number, Document Number, Document Date, Description, Applied Amount etc. for each AR Document.

User can drill down the AR Document by clicking the edit icon on Document number column of an each row for detail information of AR Document. 

On Second table lists all the Items/Distribution code of selected AR documents on first table, which has one line summary information like Item Number/Distribution code, Item Description, UOM, Quantity, Unit Price, Total Amount etc.

On Third table lists all the Posted Date and AR Receipts created against the AR document, which has one line summary information like Posting Date, Year, Period, Transaction Type, Reference Document Number, Transaction Amount, etc.

Enhancement in Bulk Invoicing Feature for Sage 300 ERP

In Bulk Invoice component we have been providing the feature of creating individual invoice of multiple open shipments from multiple customers with minimum clicks on single screen. We have now enhanced our component to consolidate the shipments of same customer into single invoice.

New Stuff:  Document Attach for Sage 300 ERP v2019 released now

Bulk invoice component allows the account person in an organization to list out all open shipments for which invoice(s) needs to be generated in Sage 300. Users can select all or particular shipments for creating an invoice. The component is a Sage 300 macro and easy to use just by adding it to Sage 300 Desktop.

Let’s see the new enhancement in the component “Bulk Invoicing”.

  • Open the bulk invoice component from Sage 300 Desktop. 
  • Information like Shipment Number, Customer Number, Shipment Date, Order Number are displayed in the Grid. This helps user to select the necessary shipments for invoicing even if user doesn’t have the shipment numbers. There are cases where shipment(s) needs to be invoiced based on particular Order Numbers, Shipment Date (ex. Yesterday’s shipment), shipment with specific customer.
  • We even have an option to select the check box to consolidate the shipments based on the customer Number i.e. creating Sage 300 invoice using Multiple Shipments.
  • For better visibility of the number of shipments that will be invoiced, the number of shipments selected for Invoice are listed just below the Grid.
  • Select All and Deselect All buttons are provided for selection and invert selection of shipment list on the grid.
  • Once the shipments are selected and create invoice button is clicked, invoices are created in Sage 300 ERP. If any error occurs during invoice creation, user will be notified with the pop-up message and log file will be generated with the error details.
  • Successful creation of invoices will enable the print button, to print the Invoice report of the recently generated invoices.
  • Refresh button click allows the user to view the shipments that are open at that instance of time. It is useful when new shipments are been created by the shipping department continuously or some are already invoiced (completed) and user requires the current updated list for invoicing.

The added benefit of the enhancement is that user can now have the track of total number of open shipments in the Sage 300 company by just opening the component and clicking the Select All button. The text below the grid will display the total number of shipments that are open.

Bulk Invoicing feature for Sage 300 ERP Version 2019 Released

Sage 300 ERP 2019 is available now. With the release of Sage 300 ERP 2019 we are pleased to announce the release of Bulk Invoicing Sage 300 Version 2019.

Taking it a step further, we have developed a separate standalone component for providing the feature of bulk invoicing for multiple shipments from multiple customers at the same time. With this component, the Account person in the organization can list out all open shipments for which invoices need to be generated in Sage 300 Version 2019.

New StuffEnhancement in Bulk Invoicing Feature for Sage 300 ERP

With bulk invoice program, users can view all the open shipments that are not yet invoiced. Users can select all or particular shipments for creating an invoice.

In order to invoice, user needs to individually select the range of shipment that needs to be invoiced or he can also click on Select All button which will select the complete list of shipments available in the grid and then clicking on Invoice All button, which will generate Invoice of all the selected Shipments.

After the Invoice is done, users can print the Invoice report from the interface itself using the Print button and also if any errors occur during the process, our routine also logs the error in a log file which can be referred to resolve the error.

Shipment and Order Quantity validation

Sage 300 ERP allows its users to create shipment entry even if the quantity shipped is greater than the order quantity. Suppose you want to create shipment entry of a quantity equal to or less than order quantity, but by mistake if the user enters more quantity than the standard, Sage 300 ERP OE shipment screen gives the popup as below.

Consider the below screenshot where the user has entered the Shipped Quantity 11 greater than Quantity on Order that is 10. Sage 300 ERP gives a message saying “Quantity shipped is greater than quantity order”. But this message doesn’t affect the shipped quantity since it’s just a warning and it can be skipped and there are chances that the user can post the entry without checking the shipped quantity.

To handle this scenario, we have developed a simple, yet useful component in which we have customized standard shipment entry screen and provided a feature in which the shipped quantity becomes 0 if user enters shipped quantity greater than ordered quantity.

Once, the user clicks on close button of the warning as shown in above screenshot, the shipped quantity becomes 0, as shown in the below screenshot:

Hence with the help of this feature, users can avoid posting the shipment Entry with shipped quantity greater the ordered quantity.

Inward Register GST

Sage 300 ERP is a well-developed software that is capable of handling operations and accounting processes of small and medium business units. ERP software increases the company’s productivity.  Inward Register GST report provides a complete listing of posted transactions. This report captures only transaction type from AP Invoice Screen (Invoice, Debit and Credit).

Inward Register GST Report refers to the data that is fetched from AP Invoice screen and GL Batch screen. Sometimes it is difficult to track posted transactions for particular data range. To overcome this point, we have developed a report Inward Register GST Report in Sage 300 ERP. The Report has been developed with the filter criteria given below:-

Filter criteria:

  • From Date and To Date
  • From supplier code and To supplier code

Report UI:

User needs to select the appropriate file path, date and vendor code and then click on Export Button that he needs and export the data to excel. If the date and vendor code is within the selected range then only the data will be exported but if the date and vendor code is not within the selected range then data will not be exported and then system will generate the error such as Records not found.

Once user click on the Export button the excel sheet data which is in below screenshot will create new AP Invoices screen entries in Sage 300. This report will provide you the data of posted transaction for selected date range and vendor code.

Below is the sample output of this report.

This report will help you to track the posted transaction type from AP Invoice Screen for particular date range and vendor code.

Field Mapping:

  • Return period:- Header level Batch date field from AP invoice screen
  • Document Type: – Header level Document type field from AP invoice screen
  • Document Number:- Document number field from AP invoice screen
  • Original Document Number:- Incase Document Type will be Credit or Debit then Original Document Number will be  Apply to document field, otherwise this will be display blank
  • Original Document Date:- Date of Apply to document field
  • Supplier Name:- Header level vendor name field
  • Supplier code:- Header level vendor Number field
  • Taxable value: – Total Dist. Net field value from total tab AP invoice screen
  • Report also Include GST Taxes (IGST,CGST & SGST)
  • Purchase Voucher Number:- PO number field from AP invoice screen
  • Reason For Credit Debit Note:- Header level Entry number field from AP invoice screen
  • User defined field 1:- AP Batch – AP Batch entry no from AP invoice screen
  • User defined field 2:- GL batch – GL Batch Entry No field from AP invoice screen
  • User defined field 3:- Header level Document date field from AP invoice screen

Report will directly export data in Excel format, so with the help of that user can easily sort the data whichever he/she wants.

Outward Register GST

Use the A/R Invoice Entry screen to:

  • Enter invoices, credit notes, and debit note that update projects in Project and Job Costing if you use that program to manage your contracts.
  • Enter prepayments with invoices.
  • If you use Payment Processing, process or void a credit card prepayment in Sage Payment Solutions.
  • Edit invoices, credit notes, debit notes, and invoices in batches created in Accounts Receivable or imported from other accounting programs but can we maintain this record with Date range?

Yes, we have developed an Export utility to track those record with selected date range criteria.

Outward Register GST Report refers to the data that is fetched from AR Invoice screen and GL Batch screen. Sometimes it is difficult to track posted transactions for particular data range. To overcome this point, we have developed a report Outward Register GST Report in Sage 300 ERP. The Report has been developed with the filter criteria given below:-

Adding Invoice number to email template for subject line

In Sage 300 ERP the primary purpose of E-mail messages option is to create e-mail messages to send with order confirmations, quotes, invoices, and credit notes.

Each message is identified with a unique message ID of up to 16 characters. We use this message ID to select the message when you select Customer as the delivery method on an Order Entry customer form (an order confirmation, quote, invoice, credit note, or debit note).

In this blog we are going to discuss the details to setup the E-mail message.

New StuffShipment and Order Quantity validation

Below are the steps to find the E-mail Messages option.

  1. Go to Sage 300 desktope ->Order Entry -> OE Setup-> E-mail Messages 

    A variable is a string of characters in an e-mail message that is replaced with a specific term or value when the message is sent.

    Example: In an e-mail message to a company where the customer contact is specified as Ron Black, the line “Dear $CUSTOMER_CONTACT” will be replaced with “Dear Ron Black” when the message is sent.

    For Invoice number $INVOICE_NUMBER will be used.

    To create an e-mail message below are the steps followed:

    1. Open Order Entry -> O/E Setup -> E-mail Messages.
    2. On the Message Type list, select the type of document for which you are creating a message such as order confirmation, quote, invoice, credit note, or debit note.
    3. In the Message ID field, we can enter a unique code to identify the new message, using up to 16 characters.
    4. In the E-Mail message body, we can use variables that will be replaced with information from our database when we send the message.
    5. Then Click on Add or Save to save the message.

AR Customer – Documents Inquiry in Sage 300 Web Screen

We have seen earlier that Sage 300 ERP Desktop version has the A/R Customer Inquiry screen to provide all the information that exists for a customer in your Sage 300 system. The Same features are available in the web screens of Sage 300.

New Stuff:  Adding Invoice number to email template for subject line

In this blog we will discuss about ‘AR Customer – Documents Inquiry’ which gives us the information about the invoices, credit notes, debit notes, interest charges, receipts (including unapplied cash, prepayments, and miscellaneous receipts), and refunds that have been posted to a selected customer’s account.

On Sage 300 Desktop version we have separately the “Documents” tab on A/R Customer Inquiry screen, but in Sage 300c we have an Inquiry button in the Tools at left side of the home page. Using this Inquiry button we can navigate to the A/R Customer Documents Inquiry page.

Go to Tools -> Inquiry Button -> Accounts Receivable -> Customer Documents.

This page contains a list of AR Invoices, Credit Notes, Debit Notes, Interest, Unapplied Cash, Prepayments, Receipts and refunds which have been processed for selected customer.

On first grid lists the AR documents according to filter condition applied on filter panel, which has one line summary information like Customer Number, Document Type, Document Number, Document Date, Description, Applied Amount etc. for each AR Document

User can drill down the AR Document by clicking the edit icon on Document number column of an each row for detail information of AR Document. 

The second grid lists all the Items/Distribution code of selected AR documents on first table, which has one line summary information like Item Number/Distribution code, Item Description, UOM, Quantity, Unit Price, Total Amount etc. 

The third grid lists all the transactions that have been applied to the document you have selected on the first table, which has one line summary information like Posting Date, Year, Period, Transaction Type, Reference Document Number, Transaction Amount, etc. 

 

Also this page provides the following option to filter or reorder the data:

  • Filter the transactions by document type, Customer Number and National Account Number.
  • Display amounts in your company’s functional currency or in the customer’s currency.
  • Choose whether to show fully paid documents or not.

 

Note: – If you change any filter options on this page, click the Apply button to update the list of documents.

AR Customers – Documents Inquiry

The A/R Customer Inquiry screen provides all the information that exists for a customer in your Sage 300 system. This screen offerings a large amount of customer information on several tabs.

New Stuff:  AR Customer – Documents Inquiry in Sage 300 Web Screen

In this blog we will discuss about ‘Documents’ tab which gives us the information about the invoices, credit notes, debit notes, interest charges, receipts (including unapplied cash, prepayments, and miscellaneous receipts), and refunds that have been posted to a selected customer’s account.

Go to Account Receivable -> A/R Customers -> Customer Inquiry. 

The Documents tab contains a list of AR invoices, credit notes, debit notes, interest charges, receipts (including unapplied cash, prepayments, and miscellaneous receipts), and refunds which have been processed for selected customer. On the document tab first grid lists the AR documents according to filter condition applied on filter panel, which has one line summary information like Document Type, Document Number, No. of Payments, Document Date, Due Date, Fully Paid etc. for each AR Document.

User can drill down the AR Document by double clicking the selected row (except “Document No” column) to view the detail information about AR Document on “A/R Invoice Entry” and “A/R Receipt Entry” screen. 

User can also drill down the AR Document Inquiry by double clicking on Document number column of an each row for detail information of AR Document Number.

Second grid lists all the Items/Distribution code of selected AR documents on first grid, which has one line summary information like Item Number/Distribution code, Item Description, UOM, Quantity, Dist. Code, Unit Price etc. 

The third grid lists all the transactions that have been applied to the document you select in the first table, which has one line summary information like Posting Date, Year, Period, Transaction Type, Reference Document Number, Transaction Amount, etc. User can also drill down the applied AR Document by double clicking on Ref. Document number column of an each row for detail information of applied Document. 

Also this tab provides following option to filter or reorder the data:

  • Filter the list by document type.
  • Specify the order in which to list documents, and the number, date, or balance with which to start the list of documents.
  • Display amounts in your company’s functional currency or in the customer’s currency.
  • Choose whether to show fully paid documents.
  • Choose whether to show amounts from pending transactions that will be applied to documents when they are posted.

Note: – If you change any display options on this tab, click the Go button to update the list of documents. If you want to display recent changes that you or other users enter, click the Refresh button.

User wise Language Setting – Sage 300 web Screens

We will discussing about the user selectable language setting in Sage 300. This would be a really helpful feature of Sage 300 for those who has several remote offices in different countries may all need to access the same data, using different languages, and all at the same time.

An administrator can set up Sage 300 users within the same company to use different languages. Below are the setting needs to be performed.

Administrative Services -> Users. 

Since we have changed the language for the user “Test”, we will now login the Sage 300 with “TEST” user and will check the impact of the same.

Below is the snapshot of the Sage 300 Web Screens after we have logged in with the user “TEST”. The user “TEST” has French language selected in the users setting criteria hence when he logged in the Sage 300 he will be able to handle the Sage 300 in more fluent manner. 

This feature would really help the users of a single company across the world.
