Provisional posting on Sage 300 cloud

Company creates provisional entries to generate the period end or year-end adjustment entries for those expenses which is incurred but not paid. This entries is due during the month. Let us explain you the example of the situation when company creates the Provision posting.

New Stuff: List of Sage 300c web screens 2018

There are lots of transaction entries company has been made as per month wise e.g. rent, Salary, period-end or year-end adjustments entries. For example, company has been paid Salary or rent for every month in which some companies has been paid previous month Salary or rent to next month. It means March month salary has been paid in April month. So when company closing their books of account on 31st march they have not accounted March month expenses as it is not paid in March month which is paid in April month.

So in order to match the transaction entries of the month, the company creates the provisional entries to show accounting effect for Salary or rent transactions entries incurred in March month but not paid.

Here the below accounting effect which is generated in March month:

Salary A/c            Dr.

Rental expenses A/c      Dr.

To Provision for account payable (AP) A/c            Cr.

Here the below steps to provide you the details for generate the Provision posting on Sage 300 cloud. :

  • At the initial stage, user need to enable the option for Provisional posting which option present is under Menu : General Ledger >>  G/L Setup >> Options. 
    • Once above options enabled, then user can use the provision posting option for new GL batches or existing GL batches. User can see all the lists of the batches on the below screen.

    Screen Location: General Ledger > G/L Transactions > Batch List 

    Before posting of Journal batch, user need to set “Yes” the “ready To Point” option as it is standard process of Sage 300 which user give permission to the journal entry for posting. 

    Once provision posting has been done, the Status column displayed the status “Provisional Posted” as this batch is posted but it is temporary so that user can edit again and post it either provisionally or permanently.

    One more option is present in Sage 300 by using user can able to do the provision posting with using range or all batches filter.

    Screen location:  General Ledger > G/L Transactions > Post Batches 

    The Provisional postings are the postings which is created in a situation when you are doing the period-end or year-end adjustments in which you may want to amendment and want to recall again for permanent posting.

Looking up Information using the Sage 300c Inquiry Tool

Using the Inquiry tool you can easily and quickly look up information that exists in your Sage 300c system. You can do this by opening a standard or custom queries, which displays information in a results table. After that use filters and other controls to refine what and how information is displayed in the results table.

New Stuff: User wise Language Setting – Sage 300 web Screens

Many standard queries are available, which allows us to find various types of information. For example, General Ledger Transactions, Inventory Items, Order Entry Invoices, and more.

On the web toolbar at the right side of the home page, click the Inquiries button.  

In the Data Source field, select a data source to indicate the general type of information you are looking for. 

On the Standard Queries or Custom Queries tab, click a query in this case ‘Order Entry Invoices’. 

Note: At the top of the Custom Queries tab, you can specify the type of custom queries to display: public, private, or both.

The Inquiry tool appears, and displays a results table containing the type of information you have selected on data source field. 

Filters and other controls to refine the displayed data:

  1. Show Grand Totals: Select the checkbox to show grand totals below the results table.
  2. Per Page: Choose how many rows you want to appear in the results table.
  3. Group by column. To group the rows in the results table by a column, drag and drop the column’s header to the purple bar (Drag column header and drop it here to group by that column) above the table. You can group by only the column headers are shaded purple. If you group by column, subtotals are displayed below each group in the results table.
  4. Sort by column. By default, rows in the results table are sorted by the first column (the column at the left side of the table). To change the sort order, or to sort by a different column, click any column header.
  5. Column header menus. Each column header includes a menu with the following controls:
  6. Specify which columns appear in the results table.
  7. Set a filter to get some information that appears in the results table. A bar above the table, displays all the filters that are currently set.
  8. To clear a single filter, open the Filter menu on a column that has a filter set, and click Clear. To clear all filters, click Clear All Filters (above the table).

In the results table, you can click some transactions and records to drill down and see more information. The query you are using determines the types of transactions and records to which you can drill down. For example, when using the Order Entry Invoices query, you can drill down to see invoices in the O/E Invoice Entry screen, orders in the O/E Order Entry screen, and customers in the A/R Customers screen.

Attach Report as PDF File in Outlook

Now a day’s most of us are already aware about the standard Sage 300 email sending functionality. In this blog we are going to discuss about some additional functionality about attaching the report document as pdf in your outlook.

New Stuff: Looking up Information using the Sage 300c Inquiry Tool

We will be discussing about the procedure that needs to be followed.

  1. Click on the Print Destination button on the Sage 300 Desktop. 
  2. Select the E-mail as destination.
  3. Once the user will post the order and the standard Sage 300 routine will ask for printing the same.
  4. On click of Print button the pdf file will get generated and attached to your outlook. Please ensure that you do not have the outlook application already running on your machine.
  5. You will have to enter the Email address manually here and click on send button.

A/P Letters and Labels Screen

The purpose of A/P Letters and Labels screen is provided in Sage 300 to print a sample covering letter and a sample mailing label form, formatted for laser printers that you can use or change to your company’s requirements.

New Stuff: Attach Report as PDF File in Outlook

 

The sample labels are approximately 6.5 cm by 2.5 cm, and are designed to fit a tab of 30 labels arranged in 3 columns. Print letters and labels whenever you need them for mailing to vendors. For example, you might want to send covering letters to your vendors with your payments.

If you are sending letters to accompany payment checks, you may find it simpler to print checks, then advices, specifying the letter you are sending with the checks as the advice form. This method ensures that you print a letter for each payment check.

To print letters or labels

  1. Open Accounts Payable ->  A/P Vendor Reports -> Letters / Labels.
  2. Select the type of form you are printing i.e. Letter/Label.
  3. Select the name of the letter or label form to use from Select By. If you are not sure of the name of the form, select the form from the generated list.
  4. Run Date. This is the date that appears on the forms.
  5. Sort By/Then By. Specify up to four orders by which to list (sort) records for the letters or labels. You can choose from Vendor Group, Account Set, Currency Code (multicurrency ledgers only), Vendor Balance, Vendor Equivalent Balance (multicurrency ledgers only), Vendor Name, Short Name, Start Date, and Currency Code. If you do not specify sorting criteria, the report orders the letters or labels by vendor number.
  6. Click Print.

Additional Task Scheduler Setting with Sage 300

In task scheduler when we schedule the custom Sage 300 application with “Run only when user is logged” setting the scheduled task is working fine. But when we schedule the same application with “Run whether user is logged on or not” setting sometimes it does not work properly and gives “Session is not initialized” error.

In this blog we are going to discuss the steps to run scheduled task with “Run whether user is logged on or not” setting in task scheduler.

New Stuff: A/P Letters and Labels Screen

Steps:

  1. Go to control panel à Administrative Tools 
  2. Click on Component Services 
  3. Expand Component Services à Expand Computers à Expand My Computer à Click on DCOM Config. In right panel right click on ACCPAC Signon Manger and go to the properties. 
  4. Go to Security tab. In Launch and Activation Permission panel select “Customize” option then click on “Edit” button and give rights to everyone. Then In “Access Permission” panel select “Customize” option then click on “Edit” button and give rights to everyone. Refer below screenshot. 
  5. In “Configuration Permission” panel select “Customize” option then click on “Edit” button and give rights to everyone. Then Click on “Apply”. Refer below screenshot. 
  6. Go to “Identity” tab select “The launching user” option. Then click OK. 

In this way you can run scheduled task with “Run whether user is logged on or not” setting in task scheduler and also you can run scheduled task with Non admin user successfully.

Receiving Location cost cannot exceed the defined limit in customized IC Transfer screen

Now a days most of us are already aware about the standard Sage 300 I/C transfer screen functionality. In this blog, we are going to discuss about some additional functionality which we have customized.

Let’s take a short overview of standard Sage 300 I/C transfer screen functionality.

Use I/C Transfers screen to:

  • Enter and post stock transfers between physical inventory locations if you store items at more than one location.
  • Import transfer transactions from other Sage 300 ERP databases or from non-Sage 300 ERP programs.
  • Export transfer transactions.
  • Process the inventory transfer, including details for serialized or lotted items, as usual.

If we can see in the standard functionality, the user can post Transfer entries it doesn’t matter whether receivable location cost exceeds than the actual cost for receivable location in such way we have customized standard IC transfer screen

New stuff:-  Additional Task Scheduler Setting with Sage 300

We have customized I/C transfer screen such that the Transfer should be restricted for posting if the Receiving Location will have the cost impact which value exceeds than the defined limit and for this, we will create a custom table and that table will contain location and the limit for that location.

Let’s take an example to understand better.

Suppose an user has created Transfer entries for item A1-103/0 with Receivable location Mumbai and we have already defined a limit for Mumbai location will be 1000 using a customized table.

Now the system will check actual transaction costing for receivable location Mumbai and if is exceeds costing which we have already defined from the customized table then error message occurred and posting get failed.

Note: – We have considered only transfer type from IC Transfer screen and functionality may change as per client requirement

How to Register and Unregister DLLs and OCXs in Windows

We are familiar that Sage 300 ERP allows to customize the standard screens which has different OCX name than that of standard name. Whenever we perform some type of customization in Sage 300 which has new screen files and other dependent files, user needs to register the same in windows.

New Stuff:  Receiving Location cost cannot exceed the defined limit in customized IC Transfer screen

There are times when we change only few files in Sage and needs to be reflected in Sage 300 ERP. Always running REGACC is not viable as Sage 300 takes few minutes to few hours depending on the modules installed in the system.

Follow the below steps to Register/Unregister single DLL/OCX:

Step 1: Run Command Prompt with Administrative Rights. Click on Start, search cmd, right click and “Run as Administrator”.

Step 2: Register a DLL/OCX file using regsvr32 command with regsvr32 followed by the path of the DLL/OCX file.

Example:

regsvr32 “D:\Program Files (x86)\Sage\Sage 300 ERP\OE65A\AccpacOE1100.ocx”

Step 3: Unregister a DLL/OCX file using regsvr32 command with regsvr32 followed by the path of the DLL/OCX file.

Example:

regsvr32 /u “D:\Program Files (x86)\Sage\Sage 300 ERP\OE65A\AccpacOE1100.ocx”

Unregistered Ocx

Now the DLL/OCX has been successfully added to the windows registry and it ready to be used.

AR Statements/Letters/Labels screen in Sage 300

The purpose of A/R Statements/Letters/Labels screen to print statements, letters, or labels for a customer or national account. This screen is use to print a sample covering letter and a sample mailing label form, formatted for laser printers that you can use or change to suit company’s requirements.

New Stuff:  How to Register and Unregister DLLs and OCXs in WindowsAR Statements/Letters/Labels screen

We can Print statements at the end of billing cycles, and send them to your customers to show the status of their accounts and to request payment.

To print a statement, letters or labels

  1. Open Accounts Receivable > A/R Customer Reports > Statements/Letters/Labels.
  2. Statements, letters, and labels (any reports printed using the database query used by the default statement that comes with Accounts Receivable) can include the following features and information:
    • Company’s name, address, phone numbers, contact person, and telephone numbers.
    • The customer’s name and address, from the customer account or ship-to location.
    • Customer credit limit and credit available.
  3. For each transaction, the document number, document date, transaction type, reference number (for an invoice) or applied document number (for a transaction matched to an invoice), due date, and current amount of the transaction.
  4. The dunning message specified on the A/R Options screen or selected for the statements, if you added message sets in the Dunning Messages screen.
  5. The number of days in each aging period, and totals for each period. The transactions are aged by due date. You can age documents by document date, and include current transactions.
  6. The previous balance, credits and new charges since the last statement, and the new balance.

Effects of adding GL Account to AP Vendor

Some organizations segregate there Vendors or Customers with specific pre-defined GL Accounts only. In terms of saving there time in Data Entry process, Sage 300 has a feature to apply the GL Account in AP Vendor screen. We will be discussing this feature here in this blog.

New Stuff:  AR Statements/Letters/Labels screen in Sage 300

We will now update the AP Vendor details for Vendor 1200. In the Invoicing tab we will select the drop down distribute by as G/L Account and G/L Account as 1000. We have now saved the record.

Accounts Payable -> A/P Vendors -> Vendors.

We will now create an AP Invoice Entry for the Vendor 1200. After selecting the Vendor 1200 the detail grid will automatically load the first line with the G/L Account 1000 as stored in the A/P Vendor screen.

Accounts Payable -> A/P Transactions -> Invoice Entry.

Quick Shipment feature for Sage 300 ERP Version 2019 Released

Sage 300 ERP 2019 is available now. With the release of Sage 300 ERP 2019 we are pleased to announce the release of Quick Shipment Sage 300 Version 2019.

Sometimes, users come across a scenario where they need to Ship multiple orders or Print selective range of picking slip at once to facilitate bulk shipment process for orders from multiple customers.

New Stuff:  Effects of adding GL Account to AP Vendor

Hence, for catering to this sort of requirement, we have designed Quick Shipment for Sage 300 ERP, using which user would be able handle shipments process in bulk.

This add-in feature assists shipping personnel to view all the open orders and post shipment for desired orders.  They can even print picking slips after processing the shipment. 

Program selects all open and partially shipped orders.  In order to ship; orders needs to be individually selected, and then clicking on Ship All button, will process for shipment of all the selected orders.

Any errors during the process can be easily interpreted using log report generated by the program. After shipment is done; users can print the Picking Slip from the interface itself.

Customer Invoice correction Utility for Sage 300 ERP Version 2019 Released

Sage 300 ERP 2019 is available now. With the release of Sage 300 ERP 2019 we are pleased to announce the release of Customer Invoice Correction Utility for Sage 300 Version 2019.

In our earlier version of AR correction utility we have developed a custom component which generates credit note against the selected faulty Invoice and then re-creates new invoice with the Correct customer and the new document number with a suffix of “-1”.

New Stuff: Quick Shipment feature for Sage 300 ERP Version 2019 Released

Now we have enhanced the functionality of this utility by introducing the new features. We have now added the option to select Document Date on user interface of AR Connection Utility. While creating the invoice this date will be consider as document date. Also using this utility user can now make the correction of customer for Item type Invoices also. Earlier this feature was limited for only Summary Invoices. 

Here we will take an example to see the working of the utility for an Item Invoice:

  • We have created an Item type Invoice “IN00000000000000000033” with the customer number “1105”.
  • This invoice has been created with the wrong customer number.

[Please note here we have created Item type invoice.] On utility User has to select the incorrect customer along with the Invoice number that needs to be corrected.

User also needs to select the correct Customer number with which the Invoice needs to be re-created in Sage 300. On the successfully completion of process, user will get below message and utility will automatically generate a Credit note against the incorrect Invoice. 

Also in the latest upgrade we have now creating new invoice with auto generate invoice number in the same batch. In older version we used to create separate batch for credit note and invoice number with suffix as -1. 

With the help of these new changes we have now enhanced the working of AR correction utility in Sage 300 version 2019.

How to change ADMIN password

In today’s business world though the work has got allotted to the employees according to their designation but there are some circumstances in which the lower authority may work as replacement of higher authority and therefore they need the higher authority working rights too. In this blog we will be discussing about how to change the ADMIN password if it has got changed or no one knows what it is.

New Stuff: Customer Invoice correction Utility for Sage 300 ERP Version 2019 Released

There are two ways using which we can reset the ADMIN password and they are as follows.

The simple way is if Sample Company Inc. or Sample Company Ltd. has been setup and does not have security turned on – OR – if any company that is setup does not have security turned on.  Logon, as ADMIN, to the company with no security. Go to Administrative Services / Users and select the ADMIN user.  Change the password and save.  This new password will be applicable for all the companies’ setup in Sage 300 ERP.

The other is if no company has its security turned off.  It is recommended to have a Sage 300 support technician assist with this process.  We need to make a list of the companies available in the Sage 300 as after restoring the ADMIN password, these companies will need to be re-setup.

  • Close Sage 300.
  • Browse to the shared data directory and rename the SITE folder. 
  • Re-install System Manager, or select the Repair function from the installation wizard.
  • When this process will be completed, there will be 3 files in the SITE folder: browse.ism, USERS.ism, and winuser.ism.  The ADMIN password is now restored to the default password of admin.
  • Go to Database Setup, you will find it blank, hence you need to setup all the previous databases (companies in Sage 300) here.
  • Go to Administrative Services / Users. There will be no users in the finder list.  All the users will need to be re-added here.  Check the shared data directory in the USER folder.  Ensure that you add the User IDs exactly as they are in this folder (as they were previously) and all the user authorizations will still be in effect. If the User IDs are changed at all, new user authorizations will also have to be setup.

A new feature has been added by Sage in Sage 300 previous versions to setup an email configuration globally and use it for various email sending process without entering the same information repeatedly. Now Sage has introduced an additional option to setup multiple email addresses which will be sent as a carbon copy (cc).

New Stuff: How to change ADMIN password

Navigate to “Common Services → Company Setup → Company Profile” to open the setup screen. 

Once the screen is opened, click on Email tab where you can find “Send Copies To” field which allows you to input an emails address. The email address entered in this field will receive a copy of an email sent for the customer(s) and vendor(s).

Multiple emails addresses are supported by this feature and needs to be separated by semicolon (;). Refer the tool tip at the top-right corner of the “Send Copies To”.

Save the changes 

So, user can receive copies of emails that is sent to customers and vendors which will help user to store the backup of the sent emails for any internal use/records and also provides a confirmation of an email delivery.

Recurring Entries of GL, AP, AR in Sage 300

The purpose of Setting up recurring entries is to save the initial setup time to save our hours and avoid a lot of repetitive work in the future.

New Stuff: Receiving email copies to multiple email address in Sage 300 2018.1 (PU1) Web Screen

AR, AP and GL being the essential modules of Sage 300 provides us the facility of allowing recurring entries. It can be setup as auto generated process of entries which will eliminate the entry of same transaction again and again.

Rent payment, Monthly bills, prepaid charges, are some examples of recurring entries.

  1. To create recurring entries below are the options respectively with screenshots:
  2. For GL: GL Setup -> Recurring Entries
  3. For AP: AP Vendors -> Recurring Payables
  4. For AR: AR Customers -> Recurring Charges. 
  5. Setup of recurring entries can be for a specific time period or for indefinite time.
  6. We need to assign a schedule to each recurring charge, and this schedule can be setup through Common Services / Scheduling. 

  7. A reminder can be set for each schedule and a pop up will be shown on the screen when we will login to Sage 300. It will prompt you to generate recurring entries and will allow to generate them right from the reminder screen. 

  8. After setting up the recurring entries, we need to generate it from Periodic Processing or creating recurring entries batch or else it can be run from the reminder popup.
  9. The entries will be placed in a batch to review and edit (if necessary) before posting. 
  10. Another feature of Recurring entries is we can set to run recurring entries in future also like fiscal year ahead of time.
  11. Recurring Entries can only be run once per scheduled time period.  Therefore, if we run our recurring batch and the entries need to be changed – we can edit them in our batch list before posting.  Then update our recurring setup for the next time.

  12. We have to remember, we should avoid deleting the recurring entries as it cannot be re-generated and we have to enter it manually but in case any recurring entry gets deleted accidentally we can recover it using export/import functionality. Exporting an older recurring entry and then editing it in excel with correct data and importing the same as a new batch can solve our problem.

Bulk PO Receipts feature for Sage 300 ERP

In our last blogs – Quick Shipment feature for Sage 300 ERP, and Bulk Invoicing Feature for Sage 300 ERP we had discussed our bulk shipment and bulk invoice component for Sales Orders from multiple customers at the same time.

New Stuff: Receiving email copies to multiple email address in Sage 300 2018 (PU1) Desktop Screen

Taking it a step further, we have developed a separate standalone component for providing the feature of Bulk PO Receipts generation for multiple purchase orders from multiple vendors at the same time. With this component, the Account person in the organization can list out all open purchase orders for which receipts need to be generated in Sage 300. 

Using this Bulk PO Receipts program, users can view all the open purchase orders. Users can select all or particular purchase orders for creating a PO Receipt. 

In order to create PO receipts, user needs to select the range of Purchase Order, Vendor and click “>>” (Go button). After loading the open purchase orders in the grid user needs to individually select the PO or else click on Select All button (which will select the complete list of purchase orders available in the grid) and then clicking on Process button, which will generate PO Receipts of all the selected Purchase Orders.

If any errors occur during the process, our routine writes the error in a log file which can be referred to resolve the error.

Note: Greytrix Bulk PO Receipts component is available for Sage 300 ERP v2018 onwards.

Document Date vs Posting Date on AP Invoice Entry

The Document Date:

The Document date is the date which is appearing on the invoices. The document date is used to set the default due date based on terms and used for calculating the discount amount and also used for aging purposes. By using document date we can also print posting journals.

New Stuff: Bulk PO Receipts feature for Sage 300 ERP

The Posting Date:

The Posting Date is the date which is used to post the transaction in the General Ledger. The Posting date also determines the fiscal year and period to which the transaction is posted.

Accounts Payable selects open documents for revaluation using posting dates instead of document dates, so that exchange adjustments entries will be posted to the correct fiscal year and period.

Depending on the selection of the Default Posting Date option on the A / P Options screen, the default posting date may be the date of the document, the batch date or the date of the session. 

The most common reason for a different post date than a document date is that the fiscal year in which

the document date falls has already been locked.

But, since the invoice must be paid in terms or may be eligible for a discount, it is important not to change the date of the document for an open fiscal year. One of the common reasons for having the posting date different from a Document Date is, when we receive an invoice for the month of February 28 2019 but we are entering it on March 1st 2019.

If we put the Posting date as February 28, 2019 than company expenses will increase on February month. If we put the posting date as March 1st, 2019 company expense will increase on March month accounts.

Edit 1099 Codes or Amount

While using Sage 300 we may notice that the 1099 codes or amounts we have recorded in the system are incorrect and we need to correct the same. We will be discussing about the same in this topic.

New Stuff: Document Date vs Posting Date on AP Invoice Entry

User may configure Sage 300 to default the 1099 amount from the invoice amount from within the A/P Setup user interface.

Follow below steps to Change the 1099 Code:

  1. Go to A/P Vendors and select Vendors
  2. Select the vendor with the issue
  3. Click on the Invoicing tab
  4. Choose the correct 1099 code
  5. Click on Save and then Close 

    Follow below steps to Allow Editing of 1099 Amounts:

    1. Go to A/P Set Up and select Options
    2. Select Transactions Tab
    3. Check of Allow Edit of 1099/CPRS Amounts
    4. Click Save and then Close 

      Follow below steps to update the Vendor’s 1099 Amount:

      1. Go to A/P Vendors and choose A/P 1099/CPRS Inquiry
      2. Filter to Vendor(s)
      3. Filter to the incorrect 1099 Code
      4. Click on the double arrows (Go option)
      5. Note the information for all entries listed
      6. Filter to the correct 1099 Code
      7. Click on the double arrows (Go option)
      8. Press the Insert key to add a new line
      9. Enter the appropriate information for the detail line
      10. Repeat the previous 2 steps for each detail line
      11. Filter to the incorrect 1099 Code.
      12. Click on the double arrows (Go option).
      13. Press the Delete key to remove the incorrect detail lines individually.

      So using the above steps you can easily correct the 1099 details.

Enhance Security in General Ledger in Sage 300c

With the release of new Sage 300 version new Security feature implemented in GL Accounts setup. This security will allow restricting the access of particular GL account to Sage 300 users. It helps to maintain the confidentiality of GL Accounts i.e. bank Account, Payroll account etc. and it will also minimize the risk of unauthorized activity.

  1. To Activate GL Account security, Navigate to the General Ledger GL Setup -> Options. 
  2. Open GL Option screen, Go to Account Tab, Check the checkbox of “Use G/L security”. Once user check this option one field will get enable on screen as “ Default Access”. Select All Account from dropdown list and save the record. After saving this record user need to logout the sage 300 and login again to activate the Account Permissions in GL Account.

You can see in below screenshot there is no Account permission screen is present before logging out the sage 300 so to activate this security user need to re-login the sage 300.

3. After Re-login the sage 300 user can check the new addition of security screen in GL Accounts.

4. Open “Account Permissions” screen and enter or select the User ID to whom you want to restrict the particular GL accounts. The permissions per user can be set by segment or by account.  If the default in GL Options is set to ‘All Accounts’, enter accounts or segments that the user should not be allowed to access.  If the default is set to ‘No Accounts’, enter accounts or segments that the user should be allowed to access.

Here we restricted Account number 1000-1022 for the user “TEST”. Once these new permissions have been saved, the user will not be able to see the affected GL accounts in any screen, including finders.  If user manually type GL account number that user don’t have permissions for, an error message will be displayed as “You are not allowed to retrieve Account”.

5. Login Sage 300 through restricted user i.e. here we are login sage 300 using “TEST” user and open any screen and select the restricted GL account. You can check below the GL Account 1000-1022 is not even list out in finder as well if user tries to enter it manually then system is showing restriction message. 

This is a powerful security feature to protect your General Ledger.
