In Sage 300c ERP 2018 version, Greytrix has released the web based version of document attachment module for our customer and re-sellers.

New Stuff: Enhance Security in General Ledger in Sage 300c

Our cloud based Document attachment add-on is useful for attaching the document from anywhere in the world in which Sage 300 user can access the Sage 300c on web and can attach the document. Once it’s done, the document file have been transferred from its original location to document attachment repository location setup at setup repository screen.

You can get the same functionality on desktop application of document attachment.

The Greytrix Document Attachment module for Sage 300c is a comprehensive add-on that helps you to attach, refer and view the relational documents that you want to see  along with the transaction screens Viz. Order Entry, Invoice Entry, Journal Entry …etc. User can store and retrieve the document from anywhere in the world by accessing Sage 300c from the localhost.

Manage the prompt for exceeded credit limit approval in sage 300 ERP 2017 PU2 and higher

Sage 300 ERP have recently provided a provision to handle the prompt of the credit limit approval popup from version 2017 PU2 onwards. Organizations can setup their credit approval process as per the their requirement.

New Stuff: Document Attachment module for Sage 300c v2018 released now

Follow the below steps to handle the credit approval pop-up

Navigate to “Sage 300 ERP → OE64A” and open “OE.ini” file.

Search for node “UsernamePasswordToOverride”

[UsernamePasswordToOverride]

Prompt=Yes

Where, Prompt=Yes. Username and password of user with security authorization needs to be provided for approval.

Prompt=No. Approval is done automatically for the user (login user) with security authorization. If the user doesn’t have security authorization, approval will be denied.

To better understand the working and configuration, we have create a customer “GT” with credit limit of 500 and have demonstrated both the scenarios with Prompt value Yes and No.

So, an organization can manage the credit approval process without entering the credentials over and over and have the ability to proceed directly. This in-turn saves the approval time investment and data entry for organizations processing large number of orders on daily basis.

Sage 300 Portal and Web Deployment discontinued from Sage 300 ERP v2019

We are aware that sage had an option to use sage 300 using Sage 300 Portal and Web Deployment along with Desktop screens. With the release of Sage 300 v2019, Sage has announced that Sage 300 Portal and Web Deployment will no longer be supported. Alternatively similar functionality is now provided using the Sage 300c Web screens. CRM integration and other external integrations will be done using the web screens and web API.

Retrieve the Data click on Load Button when Entry get failed on PO Receipt screen

Overview of Po Receipt Screen:-

Use the Receipt Entry screen to:

  • Enter receipts of goods into Purchase Orders—for inventory or non-inventory items.
  • Edit existing receipts.
  • Enter or change the vendor address information.
  • Enter additional costs for receipts (from primary or secondary vendors).
  • Invoice receipts and additional costs.
  • The user can put the number of the item at line level in the PO receipt entry screen

As we see above, we can enter all the information but what happens if Receipt Posting gets failed due to some reason? Can we retrieve the same data again?

Yes, we have done customization on the PO Receipt entry screen and find a solution for the same so let’s discussed about Customization

We will customize PO Receipt screen

to fetch this screen Purchase Order–> P/O Transaction –> Receipt screen (Refer below the screen)

we will add Save and load button on the PO Receipt screen so that when posting fails from the same screen we can retrieve the data with the details.

Let’s take an example for more clarification

Suppose we will going to create PO Receipt RCP001 with details Unit cost (100), Vendor number (1200), Item number ( ABC ) and the user will be Johny.

Now the first user will Click on the Save button and on the save button suppose entry get failed due to some reason, in this case, we have to capture the same data with the current user details.

Now click on the LOAD button we will open a new pop window with below details.

ID number:- Once entry fails after clicking on the save button details will get generated with Unique ID number

USER:- this will be User ID of the users who attempted to post the same transaction.

Date:- this will be the date for the same transaction which gets Failed and needs to captured session date (DD-MM-YYYY)

Time:- this will be Time for the same transaction which gets Failed

Select the ID number click on the Ok button so that the data captured for that session gets retrieved on the screen. Please note, this will load only the details that were saved Vendor number, PO number, Receipt Date, Item Number, Qty Received, Unis cost Etc

Open Sage 50 US à Login with credentials à Go to Customers & Sales à Sales Invoices à Select Invoice

In the above screenshot, you can see that highlighted total balance is -939.72 and negative quantities.

In the below screen shot you can see that the negative sales invoice of Sage 50 Company is migrated OE credit Note.

As the negative amount In Sales invoice cannot be handle in Sage 300 ERP so we migrate it as a Credit Note.

How to take back up of Sage Pro Company

In this blog we will see that how restore and take back up Sage Pro Company data.

Sage Pro having two types of back end:

  1. VFP: Having DBF files.
  2. SQL: Having ‘PROSYS’, ‘PROTEMP’ and company database.

If Sage Pro Back end is VFP then follow the below path:

  • Go to Sage Pro installation directory. (Say for example: you have your Sage Pro system installed at “C:\Pro” then go that path)
  • You need to select Pro folder and zip it to any other location.

If Sage Pro back end is SQL :

  • Go to Sage Pro installation directory. (Say for example: you have your Sage Pro system installed at “C:\Pro” then go that path)
  • You need to select Pro folder and zip it to any other location.
  • Go to the SQL management and take backup of company file
  • Take back up of Pro System file.
  • Take back up of Pro temp file.

In this way we restore and take back of Sage Pro company.

AR Invoice – Job Related Documents introduced in Sage 300 2019.2 Web Screens

We are aware that sage has a functionality in Account Receivable for the Job Related Documents in the desktop version. The options was not yet provided in the web screens up to Sage 300 2019.1 i.e. Product Update 1. With the release of Sage 300 2019.2 (PU2), sage has introduced the Job Related Documents option in the A/R Invoice Web screen.

New Stuff:  How to take back up of Sage Pro Company

Navigate to “Accounts Receivable → A/R Transactions → Invoice Entry” to open the A/R Invoice Entry screen. The screen can  also be opened from the Invoice Batch List Menu similar to the functionality available in the desktop screen.

Once the screen is opened and the customer is entered, the Job Related check box is available for selection.

So, user can now perform the Job Related transactions from the web screen itself instead of going back to the desktop screen for just using the feature.

AR Receipts – Job Related Documents introduced in Sage 300 2019.2 Web Screens

We are aware that sage has a functionality in Account Receivable for the Job Related Documents in the desktop version. The options was not yet provided in the web screens up to Sage 300 2019.1 i.e. Product Update 1. With the release of Sage 300 2019.2 (PU2), sage has introduced the Job Related Documents option in the A/R Receipts Web screen.

New Stuff:  AR Invoice – Job Related Documents introduced in Sage 300 2019.2 Web Screens

Navigate to “Accounts Receivable → A/R Transactions → Receipt Entry” to open the A/R Receipt Entry screen. The screen can also be opened from the Receipt Batch List Menu similar to the functionality available in the desktop screen.

Once the screen is opened, enter the customer, select the Transaction Type as “Prepayment” and the Job Related check box is available for selection.

Similarly, if Transaction Type “Miscellaneous Receipt” is selected, the Job Related check box is available for selection.

The Job Related option is only available for Transaction Type as Prepayment and Miscellaneous Receipt. Other Transaction Type does not support this feature.So, user can now perform the Job Related transactions from the web screen itself instead of going back to the desktop screen for just using the feature.

QR code generation for each item on the OE invoice Report screen

Overview of O/E Invoice Entry screen:-

Use the O/E Invoice Entry screen to enter prepayments, and to enter, post, print, and export invoices.

On the O/E Invoice Entry screen, you can:

  • Enter and post invoices
  • Enter prepayments for invoices
  • Export invoices
  • Print receipts (for prepayments) and invoices immediately after posting
  • If you use Payment Processing, process or void a credit card prepayment for an invoice

In the header area of the O/E Invoice Entry screen, you specify the invoice number and customer number for the invoice

Use the I/C Items screen to:

  • Add new items, and change or delete existing item records.
  • Select the item structure and enter segment information for a new item number. (Click the Zoom button to open the I/C Construct Item Number Screen.)

On the OE invoice detail, level screen the user can delete, modified, select IC item and print the data according to the invoice number from OE forms.

After printing the Report, the user can scan the selected item from the OE invoice Report? Can we generate barcode for the selected same item?

So In this blog, we will see how to generate barcode for the selected item and for each item we have generated barcode and QR should be the generate basis on fields like PONumber, TML PO order item no, Vendor Invoice Part Qty , Vendor Invoice Date, Vendor Invoice Basic / Gross Rate , Vendor code , Invoice Part Number , Total invoice value etc.

Based on the above-mentioned field (Combination of all fields) we will create a barcode for each item and display below the respective item so that user can easily scan the item and based on the same user will get all the details which we have mentioned above.

QR code generation for each item on the OE invoice Report screen

As we are aware about Tax invoice report displays sales invoice details of particular customer with details like Item number, Unit price, customer, ship to and bill to details and many more fields. Apart from this one of our client has requested to print QR Code which includes different details like item number, Qty etc. so to achieve this we have developed tax invoice report which displays QR code on each detail level.  


So In this blog, we will see how to generate and display QR Code for each item and QR code should be the generate basis on fields like PO Number, PO order item no, Vendor Invoice Part Qty, Vendor Invoice Date, Vendor Invoice Basic / Gross Rate, Vendor code, Invoice Part Number, Total invoice value etc.

QR Code helps to easily scan and get the required details quickly.

It can be customized to contain other relevant information (which we have mentioned above)

Document Numbering on Combination of from and To Location in Transfer entry

As we know, Document Numbering is a module helps to generate Document Numbers based on Location, Account Set, Account Set/Location (optional field) or Bank Code for various transaction screens of AP, PO, IC, AR and OE. User can set Numbering structure as per their requirement and can generate Document numbers accordingly.

One of our client has requested customization in the standard product that they want to generate Transfer Numbers based on combination of the ‘From & To Location’ selected in the detail line (instead of ‘From Location’ which is a standard functionality). So we did the customization by generating the document Numbering based on combination of ‘From & To Location’. This customization is done for IC Transit Transfer/ IC Receipt screens. The reason for doing this customization as client want to have different series for Interstate and Intrastate transfer.

Following configuration needs to be done to work this customization.

1.Firstly user will have to create an Optional field “ICFROMTO”

2.Here the user will have to enter combination of ‘From Location code’ and ‘To Location code’ in the ‘Value’ Column. In Description column the user can describe the Location information as per needed.

3.On Numbering Mapping screen, user needs to select Numbering Method as From and To Location and then select values from created Optional field (ICFROMTO) for selected Document

Type (It does only work for only IC Transfers screen.)

4.This entry gets saved after proper selection of Structure Code and assigning Prefix and Next Number values.


5.Back to IC Transfer screen user will select the appropriate from and To Location as mapped on Numbering Mapping screen

6.After posting this transfer/receipt entry a document number will get generated as per mapping done on Numbering Mapping screen.


The key point to note is that while adding no. of Detail lines on transaction screen, only first Detail line will be considered for mapping of From and To Location.

Default Bank Code Setting in Sage 300

There are so many features are available in sage 300 which might not get used frequently but those feature are sometimes useful as per the business requirement.

In Sage 300 there is an option to set the Default bank in Bank Setting and this bank will get start appear on other screen as a default bank so user may not need to select the bank again on other master and transactions form.

New Stuff:- Document Numbering on Combination of from and To Location in Transfer entry

So using this feature user can set the default Bank which get use maximum time in transactions. Let’s check how to set the default bank option in sage 300.

Go to Bank Services -> Bank Setup and open “Option” Screen to set the default bank.

On Bank option screen go to “Processing” tab.

Here in this screen you can check the default bank code is set as “CCB”.  So once you save this setting the CCB bank code get started appearing on other screen where the bank field is present.

You can see in the above screen Bank Code “CCB” get automatically display on screen. Here you can also change the bank code if you want to select the other bank code.

Similarly it will get display in other screens as well where the bank field is present.

Enable Additional Cost Optional Field in PO Receipt Transaction

In our previous blog we have discussed about the additional cost in PO and its variations, now in this blog we will be discussing about the problems that users may face while adding the optional field to the additional cost.

New Stuff: AR Receipts – Job Related Documents introduced in Sage 300 2019.2 Web Screens

In order to apply the optional fields to the additional cost in PO Receipt Entry screen we must follow some settings to enable the optional fields for the additional cost detail line.

Below is the example in which we have selected the predefined additional cost “TF” and have selected the proration method as “Prorate by Quantity”.

Now this will not have allowed us to add the optional fields for the particular line. User can select the proration method as “No Proration” and select the appropriate expense account which will then allow us to enter the optional field for the particular additional cost line.

Sage 300: Euro Conversion Rates Screen

This screen has been used to maintain Euro Conversion Rates which is used in multi currency database.  This screen has been present in Sage 300 menu under Common services module i.e. Common   Services > Currency > Euro Conversion Rates.

New Stuff :- Enable Additional Cost Optional Field in PO Receipt Transaction

Here’s the uses of Euro Conversion Rates screen:

  • View the rate at which a national currency is converted to the euro. To view the conversion rate for a currency, enter the currency’s code in the Currency Code field, and then press Tab. (Once you tab out of the Currency Code field, the program displays the currency description (name), the conversion rate, and the effective date.)
  • View the effective date on which the conversion rate was set. The effective date is usually the date that the country joins the European Monetary Union (EMU). For example, for the first eleven countries that joined the EMU, the rate was set on January 1, 1999.
  • Enter a rate and an effective date for the currency of a country that joins the EMU.

Customizing the Navigation Menu of Sage 300c.

Using the Customize Navigation Menu screen, you will be able to hide or show the Sage 300c menus as per company wise.

For example, you want to display only selected navigation menus of Sage 300 for all the users while they accessing the page on the web. In that case, admin user has selection options to hide or shown the navigation menu. Like, you can hide the A/P Invoice Batch List, A/P Payment Batch List and A/P Adjustment Batch List from Account Payable module on the web.

If you have multiple companies, then you must login to each company to specify which menu you want to display or hide as per company wise for the users.

On the desktop screen, admin user can hide and show the desktop menu based on user authorizations and security groups. It means, there is no effect on the desktop menu screen, only web screen menus will be hidden and shown if you make changes using the customize navigation menu on the Sage 300c.

To customize the navigation menu:

  1. Open Administrative Services > Customization > Customize Navigation Menu.
  2. On click of drop down list, you can get the module list.

Hide Completed Orders in Order Entry Finder

In the large organizations too many sales orders are getting generating each day and their shipment/invoice may not be done at the same time. Thus keeping the order status to Incomplete (Open) which needs to be shipped/invoiced later in future. Sage 300 sales order entry screen has an order finder which lists all the orders and has the functionality of filtering the records based on the selected criteria from the columns but it doesn’t have an option for showing only open orders i.e. Hide the completed orders which are no longer required for processing.

New Stuff:- Customizing the Navigation Menu of Sage 300c.

We have done a customization on O/E Order Entry Screen for one of our customers where on opening the sales order finder, the completed orders are getting filtered and not displayed to the user. User can always enter the completed order manually as provided by Sage.

An example is demonstrated below showing the change before hiding completed order and after hiding it.

Below image illustrates the list of all Sales orders in a company. We can see that the complete range from ORD00…053 to ORD00…075 is visible in the list. When scrolled vertically, all the remaining Sales orders are listed.

Below image illustrates the list of open Sales orders in a company.

We can see that some Sales orders are missing in the list as their status is now completed. After order ORD00…02, directly order ORD00…63 is displayed. Also orders ORD00…70 to ORD00…075 are missing as they are completed.

So, this type of customization is very useful to get rid of navigating the unwanted list of Sales orders not fruitful to us. This in-turn saves the time of a user when completed Sales orders are not required to revisit frequently by an organization.

OE Transaction List Report

In the Sage 300 ERP, every module provides a number of standard reports which helps users to get the detailed transaction information, Transactions Status, Setups etc. In this blog we are going to take a look at on O/E Transaction List Report.

New Stuff:- Hide Completed Orders in Order Entry Finder

The O/E Transaction List Report is used to print a list of orders, shipments, invoices or credit/debit notes.

We can print each type of transaction by selecting the print options on UI and also we can print detailed or summary version of the report.

This report can be found under Order Entry -> O/E Reports -> Transaction List.

When we are printing this report for orders, we can specify which type of orders to include in the report by selecting the order type, status, and source options on UI.

When we are printing this report for shipments, invoices and credit/debit notes, we can only specify which transactions information needs to print.

We can sort the report by transaction number or customer number, and we can specify ranges of transaction numbers, customer numbers, transaction date and currency codes (if we have a multi currency system) to include in the report.

Information Printed on This Report:-

Depending on the printing options we have selected, the Transaction List report can include:

  1. The information entered on the Transactions standard screen and the total amount. In multi currency ledgers, the total amount is displayed in both source currency and functional currency.
  2. The address, phone number, and fax number for billing and shipping.
  3. Details for each item on the order, invoice, shipment, or credit/debit note, including quantities ordered and shipped or returned, unit prices, and total amounts outstanding.
  4. The salesperson commission split for the order.
  5. Any prepayments that were posted to an order or invoice.
  6. Grand totals for orders, shipments, invoices, or credit/debit notes.
  7. Summary totals for each source currency (for the multi currency version of the report).

Sage 300: Order Entry Entered by report

In this blog we are going to discuss about the new custom “Order Entry Entered by” Report which we have developed for one of our customers. This report shows which user entered orders.

New Stuff:- OE Transaction List Report

The user interface for “Order Entry Entered by” Report is as displayed below. The report data will be produced based on the user-specified Sales Order date range and User Range. Please refer the screenshot of the user interfaces for “Order Entry Entered by” Report.

  • As you can see in above screenshot user will be able to specify ‘From’ and ‘To’ date on the basis of which Sales Order gets filtered by comparing Sales Order date.
  • Also user can select a range of User IDs and report will show all orders (quotes and active) entered by that user by date within date range selected.

Working of the report:

  • Report will show the data on the basis of user specified inputs from the user interface.
  • Please find below screenshot of generated report.

  • As displayed in the screenshot above the report displays Sales Order information with its entered by the User ID. Below are the fields available on the report: –
  • Date: – Sales Order Date
  • Order number: – Sales Order Number
  • User ID: – Sage 300 User ID
  • Order Total: – Outstanding Order Amount
  • Sales Person: – Sales Person 1 (One) on the Sales order
  • Number of inventory lines entered: – Number of Item lines on Sales order excluding Misc. lines

So this report would be helpful to review the Sales Orders on few clicks.

Auto calculation of OE Miscellaneous Charges

In Sage 300, we can add miscellaneous charges manually in detail line of Shipment Entry and Invoice Entry and at the time of adding miscellaneous charges user needs to take care of Taxes which are required to calculate on the respective miscellaneous code and for this, there will be a long procedure for creation of Taxes, creation of tax authorities, rate, etc.

To avoid this long activity, Sage has introduced a new feature – auto calculation of OE Miscellaneous Charges. We have added this customization on OE Shipment Entry. For this purpose, we will set miscellaneous charges % rate in an optional field value and that will be applied on total extended price automatically at the time of adding miscellaneous charges in the Shipment Entry.

We need to follow some steps –

  • We will create an optional field ‘MISCCHG’ and we will map miscellaneous charges rate (%  ) and code in that optional field’s value and description respectively as shown in the screenshot below:
  • We will create a new Miscellaneous with the same code ‘TRSCHG’ from the OE Setup Miscellaneous charges which we have already saved in optional field’s Description and value will be the rate of Miscellaneous code (Refer below screen)

We will look into this with an example – Suppose user has created Shipment entry with item number A1-103/0 and extended price is 5000 now at the time of insertion of the miscellaneous code, system will calculate miscellaneous charges automatically as per the rate which has been already defined in an Optional field “TRSCHG’ that means miscellaneous amount will be calculated automatically as 5000*3/100= 150 and the same value will be displayed in Ext price column of the miscellaneous code.
