As the word, “Advance Payment” suggests, it is nothing but the payment that is made ahead of its scheduled time.  Most sellers make advance payment receipt as security, against the non-payments or to cover some cost of sellers.

In our last blog we have seen the detailed explanation for “Rent Receipt Report”. In this blog, we will learn how we have created “Rent Receipt for Advance Payment” in Sage 300 ERP and its usage. There are many more reasons for which advance payment receipt can be used.

For one of our clients, we have created “Rent Receipt for Advance Payment”.  For an example suppose you are owner and your tenant wants to pay the rent in advance. Now in this case the rent receipt for advance payment can be use. The owner will give the above receipt to tenant for his advance payment. Then at the time of monthly payment owner creates the invoice to nock of the same.

This receipt will fetch information from customer Master and AR Receipt screen. You can generate Rent Receipt for Advance Payment for Multiple Customer at a time as per the selection criteria.

Create P/O’s from O/E – Copy Comments and Optional Fields

Recently we did a customization on native “Create P/O from O/E” screen opening from O/E Order Entry screen where our customer was expecting to pass the comments and optional fields from the O/E Order to the generated P/O Order using the “Create P/O from O/E” process from O/E Order Entry screen.

New Stuff:  Sage 300 Add-Ons addressing the needs of Fast-Growing Businesses

In this blog, we would be discussing about functionality of copying the comments and Optional Fields.

Step 1:

We have provided the button “Setup Optional Fields” in the custom form “Create P/O from O/E”. This button creates the optional field “POFROMOE” in common services and assign the optional field to “P/O Setup → Optional Fields → Purchase Order” with Auto Insert as Yes. This field is the supporting optional field to map the recently created purchase orders and update the custom values like comments and optional fields.

User needs to click on the “Setup Optional Fields” button in-order to provide the enhanced functionality while creating P/O from O/E”.

Step 2:

User can create the Purchase order as the Standard Sage 300 by clicking the Process button and after the P/O is created, Sage 300 provides a message box with the information/error messages. We need to click on the close button of the message box to process our customization. Our customization only copies the values for the selected options present in the “Copy to P/O” frame.

When an additional customization will be running, the Process button and Close button will be disabled and the status of the processing is displayed to the right of the Process button.

Step 3:

When the values in the P/O are updated, the optional field value at the P/O Purchase Order Header Optional Field “POFROMOE” is set to “Yes”. Values of all the selected options are copied to the respective Purchase Order Header and Purchase Order Detail.

Technical restrictions:

There are certain technical restrictions for copying/editing the values in the generated P/O’s from O/E:
This customization does not work for consolidate Items and Items with Insufficient Quantities as in that cased is there no proper mapping of the generated Purchase Order with Sales Order.
So, customization is very useful when we need to copy certain values from the Sales Order when Purchase order is created using the Sales order.

he Sage 300 v2018 has provided new features and various enhancements to existing Sage 300 screens. In this blog we are going to discuss about the new field included on A/R Invoice screen and O/E Invoice screen i.e. “Export Declaration Number.”

Export declarations provide Customs with details about goods intended for export. The Customs Service’s processes the information provided and issues an Export Declaration Number (EDN) upon acceptance. An EDN consists of nine alphanumeric characters. Export declarations can be lodged up to six months in advance of the date the goods are being exported.

In order to access the screen navigates to “Accounts Receivable”  -> A/R Transaction -> Invoice Entry ->Tax tab.

In order to access the Order Entry screen navigates to “Order Entry”  -> O/E Transaction -> Invoice Entry Screen -> Tax Tab.

OE Invoice

An Export Declaration Number field allows you to enter export declaration numbers for exported goods. This information is required for tax purposes in some jurisdictions (such as Malaysia and Singapore).

Note:  In sage 300 this field can take alpha-numeric value up to 30 characters and can be specified / edited by the user any time.

In this blog, we will discuss how web services plays an important part in integration with 3rd party software. There are 2 types of integration – One is Run time & other is import export. Mostly for run time integration, web services are used which need to be called by the 3rd party application.

In this type of integration, we will create web service & provide XML structure. Customer needs to send data in the given XML structure only & call our web service. If the data is correct & valid then web services will automatically create entry in Sage 300.

Web service is an easy way to communicate with 3rd party application without hampering the existing system & this is the reason we will always suggest to go for web service integration, whenever any customer require integration.

Deployment:-

  • We will provide you a folder that exists in published web services (as per your requirement).
  • Copy all the files from that folder to newly create folder on below mentioned path.
  • C (drive) –>inetpub–>wwwroot–>(Create new folder with suitable name)

Once you have done with this, you will get same folder in IIS under default web sites. You need to convert it into application & restart IIS. Refer below screen shot.

Document Numbering feature for “Create PO from OE”

We have seen in our previous blogs on Document Numbering wherein the document number is generated based on Location, Account, Optional Field and bank code for transnational screen of PO, OE, IC, and AP Module.

In this blog, we will see how you can configure document numbering module so that it will generate the Document Number for PO entry which is created From Order Entry Screen based on the PO Type optional field set at Document Mapping screen.

New Stuff: Create P/O’s from O/E – Copy Comments and Optional Fields

First user needs to create one optional field “POTYPE” with values like Parts, machinery, Accessories and assign it for PO header optional field and set it to Auto insert.

Now on the Numbering mapping screen, user has to assign the different numbering for each optional field value i.e. for machines, Accessories and parts as shown in the below screen shot,

Whenever user will use “Create PO from OE” option from OE screen it will give popup to set optional field value of POTYPE , and depend on the optional field value selected on the screen i.e. Parts, Accessories, Machinary, program generates the document numbering series defined on the mapping screen.

Recently used windows option introduced in sage 300c V2018

With the release of new version of sage 2018 some new additional feature has been introduce. In this blog we are going to discuss additional feature on web toolbar i.e. Find and open recently used windows.

New Stuff: Document Numbering feature for “Create PO from OE”

With the new Sage 300 Version on the web screen new option i.e. Recently used windows has been introduced on toolbar which will list out the recently opened screens and also allow user to open that window from that list. It makes user to find and open those window which was recently used.

Check below screen shot to review where the new option is present on toolbar.

Here you can check the list of all recently open forms. Web screen will open the recently used window once you select option and click on that option from list to do any task.

Let’s check by clicking on any one recently used window.

Click on O/E Order screen -> OE Order screen will get open on single click.

This feature will help to improve the performance since it will reduce time to go back to module and open the window which is used previously.

Sage 300 – Provision to set Import Declaration Number

The Sage 300 v2017 classic desktop and web i.e. Sage 300C both has provided various features and enhancements in terms of speed-up, more informative and user friendly. In this blog we are going to discuss about the new field introduced i.e. “Import Declaration Number” on P/O Invoice and A/P Invoice.

“Import Declaration Number” is basically the declaration document number of customs entry for imports. This document will be made and submitted by importer. An agent or Broker can submit the same on the importer’s behalf. This declaration documents includes details about goods intended for import. The Import Declaration Form shall be numbered respectively to ensure that each declaration form of the customs district can be uniquely identified by import within the same calendar year.

In most of the European countries, it is the common business practice to report the details of the import invoice when the payable tax is demanded for the tax paid on the invoice that was obtained from the Customs Agent. The VAT percentage that is included in the invoice from the Customs Agent varies and consequently cannot be calculated from the total amount on the invoice.

“IDN” or “Import Declaration Number” provides information about detailed customs clearance formalities of the landed goods have to be followed by the importers

In order to access the screen navigates to “Purchase Order” ->PO Transactions->PO Invoice Entry->Tax tab.

In order to access the Account Receivables Invoice screen navigates to Account Payables -> A/P Transactions -> A/P Invoice Entry Screen -> Tax Tab

 

Note:

  • In sage 300 this field can take alpha-numeric value up to 30 characters.

  • The same can be specified / edited by the user any time. On PO Invoice Screen user can specify the same while creating new PO invoice record as ones posted user can not edit the same. On A/P Invoice user can specify /edit the same for new as well existing entry in the un-posted batch.

  • For the A/P invoice batch which is generated from PO invoice as an effect of Day-end processing the “Import Declaration Number” from PO invoice is copied to the A/P Invoice batch entry for that invoice.

  • This field is available from Sage 300 2017 both desktop and web version as well in the sage 300 v2018.

Notes in Sage 300 2018

In this blog we are going to discuss about the enhanced feature provided in Sage 300 v2018 i.e. Notes.

New Stuff: Sage 300 – Provision to set Import Declaration Number

This feature allows us to create our own notes fields that we can attach to Customers, Vendors and Inventory items. When we open a Customer, Vendor or Inventory item with a note it automatically pops up. These notes can be used for keeping any particular information against any of these entities or to keep a reminder for the same.

To add a note:

  1. On the Sage 300 Desktop, click Notes.
  2. On the Notes screen, click Create New.

If a particular customer, vendor, or inventory item is specified in the fields at the top of the Notes screen, the new note is assigned to that record by default.

  1. On the Create Note screen, enter details for the note. Enter note content in the text editor, and also enter information in the following fields:
  2. Note For and Customer/Vendor/Item Number. Specify the customer, vendor, or inventory item that the note is for.
  3.  A note can be assigned to only one record: either a customer, a vendor, or an inventory item.Click Save.

So using this new feature we can easily set the additional notes to a particular Customer, Vendor and Inventory item.

 

  • Active on Specific Dates. Select this option to make the note active during a specific period of time. After you select this option, specify the dates when the note will be active in the Active From and Active To fields.
  • Cannot be dismissed. This option is selected by default. Clear this option if you want users to be able to dismiss the note.

If a user dismisses a note, that user will not see the note again unless they open the Notes screen and restore the note by clicking Restore.

Close Company Option in Sage 300 2018

In earlier versions of Sage 300 ERP an option called Close Company was present under the File menu. The purpose of this option is to close the active Sage 300 Company.

New Stuff: New Notes feature in Sage 300 Web screens

It is present in earlier version as an option which has been upgraded as a separate icon on main task bar of Sage 300 desktop in sage 300 v2018.

 

After clicking on Close Company icon, Sage 300 I first validating if any screen is opened and showing the warning if any. After closing all the opened screen and clicking on the Close Company icon it will close the Sage 300 desktop and display start page. User can open the new Sage 300 company by clicking on Open Company icon.

Manage Bulk Shipments in a Click with Sage 300 Quick Shipment Component

Delivering bulk shipments on time is one of the most crucial aspects for organizations across industries. There are number of tedious and time consuming task involved to ensure that all the orders are processed and delivered accurately on time.

To simplify the shipment tasks of organizations and efficiently manage the costs while exceeding customer satisfaction, Greytrix with an expertise in Sage 300 SDK brings to organizations implementing Sage 300 as their business management system, a component called “Quick Shipment”. With this component, the shipping personnel can view all the open orders and post shipment for desired orders.

Quick Shipment is integrated with the Order Entry module of Sage 300. The program selects all the open and partially shipped orders. In order to ship, orders need to be individually selected and then clicking on “Ship All” button will process the shipment of all the selected orders. Any errors during the process can be easily interpreted using the log report generated by the program itself. After the shipment is done, users can print the Picking Slip from the interface itself.

Credit cards offer a flexible way to cover unexpected expenses and build up a good financial reputation. That’s why Sage Payment Solutions provides a variety of ways to accept and process payments in Sage 300 ERP. In this blog we are going to discuss what credit card pre-authorizations is.

New Stuff: How-to-process-credit-card-payments-in-OE

Pre-authorizing a credit card puts a temporary hold customer’s funds. The hold lasts approximately five or seven days, depending on your MCC (merchant classification code). The customer can’t withdraw the money from an ATM or spend the money elsewhere while the hold is in place. However, no money is actually debited when a card pre-authorization takes place. When it comes time for the customer to pay, the funds on hold can then be ‘captured’.

When you create a pre-authorization, the cardholder’s credit limit is reduced by the amount of the pre-authorization until the pre-authorization is captured or expires.

If the pre-authorization expires, then the funds are released back to the cardholder and again the customer will have to process for new payment.

If a pre-authorization has expired recently, you may be able to force a payment for the pre-authorized amount.

If you want to cancel the order, you can process void pre-authorization.

You can use void pre-authorized credit card payment for an order if the payment has not yet been processed.

Note:
if an order will not shipped within or before seven days, so in this case you should not pre-authorize a credit card payment for that order. If you do, the pre-authorization may expire, in which case your merchant service provider will charge a fee. (Credit card pre-authorization in Sage Payment Solutions expires after approximately seven days.)

Rather than pre-authorize a credit card payment, you can process an initial prepayment (advance payment) when the order is created, and then process the balance when the order is shipped.

Pre-authorization can reduce fees, while also providing your customer with a good experience. Here are the main benefits of pre-authorization.

1. Ensures customers pay for their services.

By putting a hold on customer funds, you never have to fear that a customer will leave      without paying for the services they used.

2. Avoids refund fees.

Many card processors charge a fee for refunds. If you have not captured the payment yet, you can cancel the pre-authorization amount and no refund is needed, so no fees are incurred.

While opening the Sage 300 ERP, many times we are facing an issue cannot connect to WMI provider.

Solution:

1. Run command prompt as Administrative rights.
2. Run “C:\Program Files (x86)\Microsoft SQL Server\120\Shared\sqlmgmproviderxpsp2up.mof “

3. Also note that in “.mof” file on machine is under 120 folder i.e. “C:\Program Files (x86)\Microsoft SQL Server\120\Shared”. Depends on SQL version installed, you may have it in different folder. The value of that number depends on the version of SQL Server. i.e.

  1. If you have Microsoft SQL Server 2014, folder 120.
  2. If you have Microsoft SQL Server 201, folder 110.
  3. If you have Microsoft SQL Server 2008 R2, folder 100.
  4. If you have Microsoft SQL Server 2008, folder 100.
  5. If you have Microsoft SQL Server 2005, folder 90.

4. After following the process, Restart the system and login Sage 300 with Administrative right.

Void Credit Card Pre-authorization

In this blog we are going to discuss what void Credit Card Pre-authorization process is and how to use void Credit Card Pre-authorization.

New Stuff: Cannot connect to WMI provider Error

If a credit card pre-authorized payment has not been settled in Sage Payment Solutions, you can void a Credit Card Pre-authorization. If a transaction has been settled in Sage Payment Solutions, it cannot be void Credit Card Pre-authorization.

To void a credit card pre-authorization:

1. Open Order EntryO/E Transactions > Order Entry.

2. Select an order number for which a credit card payment has been pre-authorized.
Note: If credit card payment has not been pre-authorization for an order, so
Void Pre- authorization button will not appear on OE screen.

3. Click Void Pre-auth. The O/E Pre-authorization screen appears.

4. Click Void. The Process Credit Card screen appears.

5. Click Void Pre-authorization. Sage Payment Solutions voids the pre-authorization.

6. Click OK

Click on OK button to process

7. Close the O/E Pre-authorization and Void Pre-authorization windows. After this, you will be back at the Order Entry window. Click the Post button, then click the Close button. You have now voided a Pre-authorization transaction.

As we all know now the GST is in the market which replace many of the indirect taxes like Central Excise, Service tax and VAT which commenced in 1st July 2017. So accordingly taxes structure got changed and it was necessary to make our Extended Report pack should be compatible with the new GST tax structure. So we have made our extended Report pack compatible in a way that the vouchers and registers will now have GST tax structure instead of Excise, CESS and other indirect taxes.
In this blog, we will discuss on the vouchers part. Let us discuss first Invoice voucher, as shown in the screen shot, the layout of the voucher is same as it is like Account details, Vendor Details, entry Details the only change we did in the vouchers that it prints the GST tax Amounts in both the currencies i.e. functional and vendor currency. This makes an easy for an Accountant people to take an approval against this voucher from their senior manager.

This new enhanced feature allow us to get the information of all the AR Related documents very much quickly and effectively.

1. Here is the below screenshot where we can find the Inquiry button.

Credit the incomplete PO Receipt in Purchase module.

Many a time’s business scenarios surfaces along wherein the Purchase receipt and the Purchase Invoices value does not match as the Vendor had not sent all the ordered goods at the time of delivery, but the PO Invoice is sent for the complete purchase order. We have depicted similar situation below and its solution as to how to implement this using standard Sage 300.

New Stuff: – Inquiry Button on Sage 300 2018

Company 1 ordered 2 products to purchase from the Vendor 1200.

Step 1- Users creates purchase order for 2 product and raises the purchase order to the Vendor as shown below.

But at the time of receipt, the Vendor only delivered partial Purchase order, in this case he/she received only 1 product against the 2 products in Purchase order details. So the user generates the Purchase receipt for only 1 product by entering the quantity for the product received.

But the vendor issued Invoice for all the 2 product and credit note of 1 product. So will check how this situation will get handle in sage 300.

Step 2 – While creating the PO receipt entry user can follow below steps.

  1. Entered “Quantity Outstanding” as 0 for the products not received.
  2. Quantity canceled will get display as 10 (Original Ordered quantity).
  3. This will make the receipt line as completed even it is not physically received the goods.
  4. Post the receipt.

Step 3- Generate PO invoice against the PO Receipt.

  1. Create PO invoice with the quantity information present on the Vendor Invoice report for the non-received Item.

Step 4- Final steps is to punch in the Credit note that the Vendor sent for the 1 Receipt item. Please note that this credit note will be against a PO Invoice. Then select invoice number and change Quantity and the Price for the Non received Item as per Vendors Credit note.

Using above flow you can achieve the result for partial receipt, but Invoice on Purchase order information.
