In our previous blog of Pending GRN report, we have seen that you can extract the same in excel in quick time. In this blog, we will discuss how you can extract IC transfer data that is pending for IC receipt.

Sometime it is difficult to track pending transit transfer for particular date range in simple understandable format. To overcome this point, we have developed a customized report called IC Pending Transfer Report in Sage 300. The Report has been developed for one of our client with filter criteria as:

Generic IC Item Import Macro for Sage 300 ERP

Macros are used to interact the basic modules of an ERP software, with business logic, done at the time of entries manually. In an easy language macros saves user time to create entries manually and can create multiple entries more efficiently enabling the user to enter bulk data at a single time.

In a general scenario suppose a user has to create 500 items to use in his inventory and he has to create them manually, it becomes very difficult for him to do so correctly in a stipulated time. For such scenarios, we have created IC Item Import Macro to handle this scenario in which the user can entered multiple items at single time through importing data from excel sheet. This will save users time and can help him to complete his business process much faster.

The utility which we are providing for IC Import Macro are as below:

Below we have attached new screenshot in which we have added few fields of IC Item Master in which we can directly insert item from the excel sheet to Sage 300 through macro.

In the above screenshot we have written 5 items in the excel to insert 5 different items in the system. Likewise we can insert multiple items at single time through writing data in excel. After Inserting from the Excel Import we are adding new screenshot below of IC Item Master in which a new item has been created successfully.

We just have to take care about all the columns present in excel has been created in Sage 300 for the particular item.

The main purpose of creating IC Item Import macro is to provide our customer an easy and fast way to insert items in Sage 300 system and to save the user time while creating IC Item Master Entries.

In screenshot above, when we click on ‘Go’ button, the orders from CRM filled into the Grid depends on filter criteria. Further, the “Sage Order Number” column is to add the Sage Order Number against the CRM Orders. When you click on “Process”, then only the selected orders get created in ERP ‘Order Entry’ category. We have applied few validations on the screen to limit the duplication of CRM orders in ERP.

For integration between CRM and ERP orders, it is necessary that they should have some similarity or the logic to get the Item Number, Location, Quantity, Unit Price, Customer Number etc., which are necessary to create order entry into Sage 300

CRM to ERP integration is very important when you deal with multiple vendors, since it helps save time and manual cumbersome work of creating orders in ERP and the same in CRM software.

Web Services API plays very important & vital role in Sage 300 as we can import/export bulk data entries at one time. We have created new API for user to create AR Invoice Entry in Sage 300 and all the parameters of the entry will be import from XML Structure Code.

Web services can be executed from 3rd party applications or using these web service reference you can call method exists in web service. We can also create debit & credit note against the respective AR Invoices done against the particular customer. Here we have also apply some validations for mandatory fields required to create AR Invoice.

After passing the above information below is the entry which is created:

In this you can also send bulk of entries of AR invoice as per above XML Structure & can create multiple AR invoice entries with their details.

The main purpose of this blog is to make the user aware about web service in sage 300 so that the data entry which is created in Sage 300 manually can be easily done & processed in Sage 300 through our API.

Hide Completed Lines in OE Invoice Entry Screen

There may be a scenario where the user may not invoice the entire inventory for shipment. There will also be a scenario where the user reviews the invoice after the shipment but the partial shipped lines are also visible on the invoice details. In this case, the user is unable to easily locate between fully shipped lines from partial Shipped lines.

New Stuff: Import AR Invoice with Web API in Sage 300

When a user opens any invoice detail to process the invoice, the remaining backorder line items also are, they may be completed as well as non-completed detail lines. So it adds up more effort on the part of the user to locate the lines which are yet to be invoiced.

To handle this scenario, we have developed a simple, yet useful component in which we have customized Standard OE Invoice screen and provided a feature to hide the completed detail lines from the invoice details.

As you can see in above screen shot of Order “IN0000000000062” contains multiple line items in which some items are completed. So in this situation, filtering out partial shipped items and shipping it again become the cumbersome process. So in order to hide the completed detail lines and make the invoicing process effortless we have provided the checkbox known as “Hide Completed Line Items”.

Once, the user checks the “Hide Completed Line Items” checkbox, the completed detail lines are hide from the invoice detail and only those line which are not yet invoiced are filtered on the invoice detail grid, as shown in the below screenshot:

Hence with the help of this feature, users can easily filter between the completed and non-completed invoice detail line.

Note: This customization is done using Sage 300 SDK, as a result easy to deploy and it works with Sage 300 ERP v2017.

How to find the list of Shipments for the shipped Items in an Order

In the last blog, we have discussed about “How to locate No. of Shipments in Sage 300 ERP for an Order” where user can find the number of Shipments created for an order. As we have discussed that Sage 300 provides a functionality where user can create a shipment of an order according to the required Item and its quantity, number of shipments varies depending on the detail line item.

New Stuff: Hide Completed Lines in OE Invoice Entry Screen

Whenever the shipment is created in Sage 300 ERP, the order number is stored in the Shipment against the line item. Sage 300 also has a column in Order Entry Screen → Order Details, where the number of items has been shipped under column “Shipped To Date” can be checked.

We have created an order with 3 different line items, each item has different quantities. These items are shipped with different number of quantity depending on the items. No. of Shipments created for the order are 4 as per the requirement till date.

Consider the line number 1, which has been shipped in 2 different shipments. Refer below snapshot for the same.

So, user can get the exact shipment number and list of Shipments on the item level which helps to track the Sage 300 shipments.

GL Report with Source Document Tax Amount

General ledger is a very important module of an ERP system. It contains the company’s assets, liabilities, owners’ equity, revenue, and expenses. This module contains the company’s accounting records. The GL holds the financial transactions of the company. This module contains the detail information that is necessary to prepare the ledger reports, liabilities etc.

For one client, we have create a Report containing the GL information. This report is different from the other reports as it not only contains GL information but also contains information of the source document.

New Stuff : How to find the list of Shipments for the shipped Items in an Order

The user interface would be look like below:

We have added ‘FROM’ and ‘TO’ GL batch Number, Document Date and period-year filter to limit the output of report. The report is exported in Excel, hence formatting and other activities can be easier.

The output of the report would be like below:

 

The report consist of GL batch entry number, posting date, source Batch Entry Number, Source document number, Debit – credit Amount, source taxes and locations etc.

The excel format is enhancing the report ability. This report is useful when you want to see the GL details along with the source document details.

Validation of Financial Registration Numbers as per defined norms

In the previous blog we have seen details about auto generated vendor number on Vendor Master Screen for reference –

Continued with the same have done customization on the same vendor master screen for exact validation of GSTIN & PAN No according to the defined format by government. The purpose of this validation is to enter GSTIN & PAN No in proper format without any mistake. Now days according to the government norms these are the 2 important numbers which every customer & vendor has.

Below is the screenshot of A/P Vendor Master Screen in which we have created customization:

We have done validation in which we have checked the length and every character of optional field value and will not allow user to save Vendor record until the characters are valid as per defined format.

Suppose if the user has optional field named as GSTIN & PAN and want to validate the same with specific characters & length. Below are the conditions:

1) GSTIN should have 15 alphanumeric characters & PAN should have 10 alphanumeric characters. And also in GSTIN the First 2 should be numeric, next 5 should be character, next 4 should be numeric, next 1 should be character, next 1 should be numeric, next 1 should be character & last 1 should be numeric.

2) And in PAN First five characters are letters, next four numerals and last character letter.

If the user entered value of optional field doesn’t satisfy the above condition then the system will throw error message to enter valid GSTIN no or PAN no and will not allow user to create vendor until the above conditions are satisfied.

Below is the screenshot for the same when the user entered invalid optional field value named as PAN. For E.g.: Vendor Number C00004 has entered invalid optional field value for PAN.  So the system will give below error message for asking user to enter valid PAN No in optional field value while saving the records.

The same goes with GSTIN No also, Vendor Number C00004 has entered invalid optional field value for GSTIN so the system will give below error message for asking user to enter valid GSTIN No in optional field value while saving the records.

The main purpose of this blog is to provide validation to enter correct & valid optional field value in the system.

In this blog we will discussed about AP invoice – How to export/ maintain record of AP invoice Entries using AP Invoice Utility

We have solution to maintain / export all those data to Excel Sheet from Sage 300.

In Sage 300 ERP, we have developed a new utility to Export Number of Batches using a single User Interface (we will Consider Only AP- INV, AP-CREDIT, AP-DEBIT Transaction)

 Refer Below screen:-

 

User needs to select path using Select Path file Option (excel file location) and Utility will work and System create Excel file including number of Batches automatically based on data entered in Selected Posting date field Option. (This will be manual process. User has to select (browse) file & Export it.)

The Export format is as follows:-

Note: – At the time of Exporting Excel file if system found Blank value of any field from AP invoice Respective screen then value should be print blank in Exported Excel

The main purpose to write this blog is that the user can maintain \ export all the above Information (batches) at a time using a Single Interface. This Utility will be helpful to Export “N” numbers of Record from Sage 300.

Note: – Export file format will be excel & we can add or remove columns into this report as per your requirement.

Locate No. of Shipments in Sage 300 ERP for an Order

Sage 300 provides a functionality where user can create a shipment of an order according to the required Item and its quantity. Sage 300 also allows to create partial shipment of an order. Shipment can not be deleted from Sage 300 company so alternatively, it has an ability to set the Quantity Shipped  to zero for all the detail line items.

New Stuff : Simplified AP Invoice Report in Sage 300

Sage 300 ERP keeps the track of the shipments created for an Order based on the detail line items. If the user creates a shipment of an order irrespective of the Quantity Shipped then it is considered as the shipment for an order. Order header keeps the track of the number of shipments once created and increment the same as the new shipments are created.

User can locate the No. of Shipments in the O/E Order Entry Screen → Order Header to the right of Order Number and left of Last Shipment Number. Last Shipment No. is visible to the user on the Order Header from the number of shipments created for an order.

So, user have an access to the find the Number of Shipments created against the order in Sage 300 ERP.

Inventory Status Report as of date

An inventory control system is a system that encompasses all aspects of managing a company’s inventories; purchasing, shipping, receiving, tracking, warehousing and storage, turnover, and reordering. The Inventory control system is maintained by every firm to manage its inventories efficiently. Sometimes it is crucial to check the status of Stocks as of date for each warehouses.

Greytrix has developed one custom report which allows user to track the Stock quantity on hand and Average cost of the stock available as of date in particular location as standard Sage 300 ERP does not does not provide this information.

New Stuff: Locate No. of Shipments in Sage 300 ERP for an Order

Kindly refer below screen shot to check filters present on report printing utility.

Inventory Status Report utility

This utility contains three filters respectively as of date selection, Item Range and Location range which allows user to select the particular criteria.

Report will get generate according to the criteria selected hence here report will get generated till date 24-10-2017 and display the Quantity on hand and average cost for item selected i.e. A1-103/0 to A1-320/0 and for location 1 to 6.

You can check below screen shot for detail record generated according to criteria selected.

IC Inventory status repiort

Here you can check quantity of each item and value i.e. Average cost of each item is getting displayed for all individual location of stock item. Report is also showing Total stock balance and total Average cost.

So using this custom report it is very easy for sage 300 users to track the quantity and cost for all stock item as of date.

Note: All the updated details of inventory control will get reflect in report only after day end process is completed.
