Shipment quantity status

Greytrix has developed one custom report which allow user to track the OE shipment data by Customer/Location/Item number. This report is showing the shipment quantity status by date and by fiscal period of the current year.

New StuffInventory Status Report as of date

While maintaining the sales of the company it is very difficult task to keep track of the shipped quantity of ordered product. Sometimes orders get partially shipped and after some period of time rest order get shipped to the customer. Standard Sage 300 does not provided any kind of the information which allows user to find out the quantity shipped at a glance as per year or as per any particular date range. To make this situation easy, greytrix has developed one custom utility which generate such a kind of report.

Check below screen shot to check the user interface.

Here you can check we have provided two selection option to print the report such as period wise report and another is Date wise report. Other than that we have also provided the selection criteria such as Customer filter, Item and Location filter.

OE Shipment quantity status utility

Period wise report generation:

1. In a period wise report generation utility is allowing user to select the Fiscal period range i.e. From and TO Fiscal period.

2. Fiscal year is by default set as session year i.e. Date which is used to login sage 300 Desktop.

3. It also allows user to select the other grouping criteria i.e. Customer, Item and Location.

4. Once user click on print button, utility will generate the report according to selected criteria.

5. Value in a finder (for selection) is getting display which are already created in sage 300 standard.

6. For example : IF user select customer criteria as from : 1100 – To :1200

Item From A1-103/0 – To zzzzzzzzzz an Location from 1-6  then report will get generate for all item starting from A1-103/0 with the sum of quantity shipment differentiate with customer and location.

7. Record will get display only for the year selected in filter criteria.

Here you can check for location Central Warehouse-Seattle items are listed with their sum of shipment quantity (done for different order and customer) as per month and year.

Date wise report generation:

1. In a date wise report generation utility is allowing user to select the particular date range i.e. From and TO date range.

2. It allows user to select the other grouping criteria i.e. Customer, Item and Location.

3. Once user click on print button, utility will generate the report according to selected criteria.

4. Value in a finder (for selection) is getting display which are already created in sage 300 standard.

5. For example : IF user select customer criteria as from : 1100 – To :1200

Item From A1-103/0 – To zzzzzzzzzz an Location from 1-6  then report will get generate for all item starting from A1-103/0 with the sum of quantity shipment differentiate with customer and location.

6. Record will get display only for the select date criteria.

Using this custom report user can easily keep track of quantity of shipment for each and evry item as per location and date and year.

Migrate AR Payment from Microsoft GP to Sage 300 ERP

New Stuff: Migrate Vendor Expense Account from Sage 50 US (Peachtree) to Sage 300 ERP

In the below screenshot you can see a GP Payment with Item details. To view an Invoice in GP, you can follow the below mentioned path:
Open GP –> Sales Tab -> All Sales Transaction -> Click on a Payment.

To view the invoice to which the payment applied click ‘Apply’:

You can view AR Payment in Sage 300 from the following path –

Order Entry -> A/R Transactions-> Receipt Entry -> Select a Payment:
Below is the screen shot of an AR Payment that is migrated from GP:

In this way, Microsoft GP Payment is migrated into target Sage 300 ERP company database.

Hide Completed Lines in Order Entry Screen in Sage 300 2018

New Stuff: Migrate AR Payment from Microsoft GP to Sage 300 ERP

Just to summarize the functionality, we have created a customized Standard order entry screen and provided a feature to hide the completed detail lines from the order details. Once, the user checks the “Hide Completed Line Items” checkbox, the completed detail lines are hide from the order detail and only those line which are not yet shipped are filtered on the order detail grid.

Identifying Number of Revisions of your Purchase Order (PO)

New stuff:- Simplified AP Invoice Report in Sage 300

Business managers especially sales and purchase managers often need to track and manage purchase/sales orders as well as any revisions in the same. They also ought to identify the reason for revisions to help trace user accuracy in the ERP system.

In our standard screen of ‘Purchase Order’, you cannot identify or track the as how many times a purchase order was changed or revised that can result due to user based errors, change in rates from vendor or increase/decrease in inventory stock.

To overcome this dilemma, we have come up with a simple yet effective solution. For this to get into effect, you only need to create two optional fields (mentioned below) and then map these two fields with Purchase Order.

  • RVNO
  • RVDT

When you create a fresh Purchase Order, the default value of RVNO will be 0. Now, whenever the user opens an existing order and make some corrections before saving the same, RVNO will automatically increase along with revision date as system date. (Please refer below screenshot)

 

Note :- Here, the revision number won’t have any restriction and there can be infinite number of revisions.

Similar to purchase order, we can also customize other document screen as per the requirement.

Modified Tax Summary Representation in Sage 300 Reports

In ERP software, we can generate different MIS Reports to display and represent data in proper way to the end user.

New Stuff : Simplified AP Invoice Report in Sage 300

If a customer raises a particular entry in Sage 300 and wants to print data as per the requirement or wants a customized format of the report, it is very much doable in the MIS reports of Sage 300.

As the introduction of GST has changed the entire taxation system in the country. To handle the change in tax structure, we can change the representation of tax summary in Sage 300. reports. If you look at our standard report tax summary, you can see that header level tax authorities with their respective amounts. (Please refer below screen shot)

As per the above screenshot, the highlighted red part is the Tax Summary of the report, which indicates tax authority and their respective amount as per standard format.

With respect to this format, if same tax authority will apply to multiple items with different rates, then user cannot identify the same. To overcome the same, we have modified tax summary to show tax classes along with their respective rates. (Please refer below screen shot)

So now, we can modify tax summary for more clarification and transparency.

Using SQL Commands instead of SQL Views in Sage 300 Reports

New Stuff: Modified Tax Summary Representation in Sage 300 Reports

In Sage 300, we use crystal reports to print several transactions such as Purchase Transaction Reports, Sales Reports, GL Transactional Reports, Inventory Stock Reports, etc. Interestingly, Sage 300 allows you to customize these reports and create new reports as per the user’s requirements.

Often, most of the users get stuck when creating different types of customized reports because of SQL views, as it doesn’t get updated  automatically on client’s machine and thus, leads to the below error when the user tries to print reports.

To avoid such issues, we use SQL commands in crystal reports. SQL commands help in faster printing of reports and serves as a robust solution to dodge errors like SQL Connection Failed or Asking Database Login.

The use of SQL views also creates error on Integration from CRM to ERP.

For e.g. when we print quotation report from Integrated CRM of ERP, we get below error:

The above login error pops up when CRM user prints quote report from CRM. This error results due to use of SQL views in reports.

‘SQL Commands’ can help discard above errors in Sage 300 MIS Reports.

So to avoid these types of issues, we use SQL commands in Crystal Reports.

Use of SQL Command:

  • SQL expression is often used as a substitute of (or combined with) a Crystal formula. The user can place SQL expression directly in a report or can use it to sort, select and group criteria.
  • SQL command is more like a data source, which defines the data you want to derive from the server. After you set the command, you can use it just like a table.

Advantages of SQL Command:

SQL commands can speed up reports viewing experience whilst solving all complex reporting issues, which otherwise are difficult to address.

How to add command in the report?

 

According to above screenshot, we can add command in crystal report. You just need to select ‘Add Command’ option and you will get the below screen, where you have to add your query and link with the tables appropriate.

As per the above screenshot, the command has been added and can be used in Crystal reports for further fetching of data.

The main purpose of this blog is to use SQL commands instead of SQL views to avoid all the above-mentioned issues and save time.

Import GL Batch through Web API in Sage 300

Many organizations use multiple software systems for managing their organization. These multiple software systems often need to exchange data with each other or there will duplicity of data. Web Services here plays an important role in integration with multiple software system.

We have created a new API for user to create GL Batch Entry in Sage 300 and all the parameters of the entry will be import from XML Structure Code file.

You can reduce your efforts on making manual entries in SAGE 300 when the same data is available in other software. With the use of the third party application, data will be imported through XML Format and GL Entry would be created in Sage 300.

AUTO COPY FILES FROM FTP SERVER TO LOCAL MACHINE

We have created many of the integration utilities that work independently without any human interventions. All of these integrations are Import type integrations. Our utility will search file on defined path, read the data & import it into Sage 300.

Here customers need to manually copy integration files from ftp to local machine (where integration is deployed). Later on utility will work accordingly.

New Stuff: –Import GL Batch through Web API in Sage 300

To reduce human intervention, we have created one windows service through which files are getting auto copy from ftp server to local machine. Below is the detail description of this windows service.

  • We will provide you installable setup exe, through which you can install this windows service.
  • After an installation, you will get config file on specified path where you need to configure your ftp details along with local directory. (Please refer below screen shot for your reference)

  • After installation, you will get this web service in your windows service list. (refer below screen shot)

  • Once you click on start, this service will execute continuously after define time interval & check whether files are exists on ftp or not. If exists, then it will copy files from ftp to local machine.

The main purpose of this service is to automate the process of import integration, without any human intervention.

New Stuff : Hide Completed Lines in OE Invoice Entry Screen in Sage 300 2018

Now a days there are many setup of an organization at different places. Currencies of different nations are different. As we all know, there are two types of currencies available in Sage 300. Functional currency and Source currency. Functional currency is company’s currency. It is nothing but the primary money that the company uses in its business. Source currency is nothing but vendor / customer currency in which you do trading with your client.

For an example, you have a company in India where your currency is “INR” and you have global clients where currencies differ as Euro, US Dollar, Yen etc. when you have this type of situation in this case when you do PO entries in ERP it has been shown in vendor currency. One of our client’s requirement was to show the Function Currency also on screen. For this we have customized our “PO Invoice” screen.

Import AP Batch through Web API in Sage 300

Web Services API plays very important & vital role in SAGE 300  as we can import / export bulk data entries at one time. Integration are usually of two types – Runtime and import \ export.

We have created new API for user to create AP Invoice Entry in Sage 300, so we will create AP invoice Entry using XML structure.

Using XML structure user can passed correct data through third party application and then web service will automatically create entry in Sage 300.

You can save valuable time on making manual entries in SAGE 300 when data is available and with the use of third party application we can passed same data in XML structure and make it easier to create automatic entries instead of manual entries.

With the help of above XML structure data the web service will automatically create entry in Sage 300. This way user can created multiple AP Invoice entries with the help of XML format through API.

Validate Unit Cost with defined Vendor Contract Cost on Purchase Order

Here we have comes up with one more useful validation on Purchase Order screen that will help users who are working on vendor contract cost. Below is the detail description of this customization.

We have put validation on detail level Item Unit Cost that cannot be greater than base price set from Vendor Contract Cost for Particular Item.

Suppose a user sets the base price of an Item as 500 from PO Vendor Contract Cost Screen for a particular Vendor then the base price set against the item of a particular vendor will automatically populate the unit cost as per the standard functionality.

As per the below screenshot, we have set base price from Vendor Contract Cost Screen to an item for a particular vendor.

 

The validation states that if the user set unit cost greater than the base price set in Vendor Cost screen for that particular item of that particular vendor then the system will show below error and will not allow a user to set unit cost greater then base price set in vendor cost.

The main purpose of this blog is to provide our customers to validate item unit cost as per their requirement in P/O Entry and should not allow item which are not present in Vendor Contract Cost Screen.

Using modern UI – new theme for custom modules in Sage 300 ERP

Sage 300 ERP has recently released the latest version 2018(v6.5) with the new theme alike Windows 10. When we create the custom Sage 300 module, we require that the customer should get the same look and feel that is provided by standard Sage 300 ERP.

New Stuff: Using modern UI – new theme for custom modules in Sage 300 ERP

A snippet of code which may help the developer to make use of this functionality:

Step 1: Locating the INI file of the module

Generally, custom module is created at path “C:\Dev\TU\…” as per the manual provided from the Sage.

Developer will be able to locate the INI file “TU.INI” file under “C:\Dev\TU\source\project\”.

Step 2: Adding the code for using the modern UI

Open TU.ini file in edit mode and search for section “General”.

If the section is present then add the below code under “General” section:

ModernizationLevel=1

If the section “General” is not present then add the below code at the end if the file.

[General]

ModernizationLevel=1

Step 3: Using the INI file in the Sage 300 ERP.

After the code is added to the INI file, make the project. The newly generated file can be found at path “C:\Dev\TU\build32\runtime\”

Copy the all the recently updated files from the runtime folder and paste it in the Sage 300 Programs directory under TU65A folder.

Alternatively, user can navigate to the desired Sage 300 module. For Example: “C:\Program Files (x86)\Sage\Sage 300 ERP\TU65A\” and edit the TU.ini file to include the code mentioned at step 2.

So, developer can use the above code snippet to call the modern UI provided by Sage in Sage 300 ERP v2018.

Implement modern UI – new theme when customizing existing Sage 300 ERP OCX

Sage 300 ERP has recently released the latest version 2018(v6.5) with the new theme alike Windows 10. When we customize any standard Sage 300 screen\OCX, we do not get the new look & feel provided by the Sage 300 ERP in v2018.

With the help of Sage Support team we have found the workaround for resolution of this issue and now our customers are also happy after getting the similar UI themes as same as in Standard Sage 300 ERP.

Step 3: Build an OCX.

Once the above code is added to your customized OCX, make the OCX and paste it in the Sage 300 Programs directory to check the UI of the control.

Note that the modern UI is not visible when debugging the project from the Visual Basic.

So, developer can use the above code snippet to call the modern UI provided by Sage in Sage 300 ERP v2018.

Using new icon for Sage 300 ERP customized screens

Customizing the standard Sage 300 ERP screens in Visual Basic 6.0 has been causing problem for including the new icons introduced by Sage from v2014 and further as VB6 Resource Editor does not support all types of icons with color depths beyond 256. The developer has to use the old icons available from SDK while creating DLL for the respective OCX.

New Stuff: Implement modern UI – new theme when customizing existing Sage 300 ERP OCX

As we are aware that the icons selected in the DLL files are displayed on the Title bar of the screen and on the Task bar of the system, using old icon does not provide good customer interaction and also differs with the standard Sage 300 theme.

The developer can use the new icons in the DLL for the OCX using the following steps:

Step 1: Locate the RC.exe file in the system.

RC.exe file is usually located at path: (C:\Program Files (x86)\Microsoft Visual Studio\Common\MSDev98\Bin). If the executable is not available at the above specified path then search for “rc.exe” from the windows search.

Once the path is located, open the command prompt as administrator.

Step 2: Creating RC and RES file.

  1. Set the home path in the command prompt to the folder of RC.exe file using command “cd C:\Program Files (x86)\Microsoft Visual Studio\Common\MSDev98\Bin”.

  2. Create the RC file for the required DLL (E.x. – ACCPACOE9901.RC) in your source folder and insert below code:

3. Go to command prompt and execute the below command:

rc /i icon_path input_filepath\filename.RC

E.x.- rc /i “C:\Pluswdev\ICONS” “E:\Source\AccpacOE9901\ACCPACOE9901.RC”

4. After execution, the RES (Compiled Resource Script) file is generated in the source folder.

Step 3: Using the compiled resource script (RES) in the DLL.

Add the resource file (RES) in the ENG project by following below steps:

Right click on ACCPACOEXXXXENG.DLL → Go to Add → Resource File.

Select the newly created resource file in Step 2 and click OK.

The resource file will be added in the project.

Once the resource file is added, compile the project and create the DLL of the same.

Copy the DLL and paste into the ENG folder of the respective Sage 300 module.

Step 4: Displaying the new icon.

User will be able to view the new icons present for the current running Sage 300 ERP version for the customized screens.

So, assigning the Sage standard version specific icons to the customized screens will improve the look and feel of the screens to the end user.

Open GP –> Sales Tab -> Sales Order Transaction -> Click on an Order.

You can view Sales order in Sage 300 from the following path
Order Entry -> O/E Transactions-> Order Entry -> Select an Order:

New enhancement in “Three way PO Matching”

In “3 Way Matching PO” module till now we have discussed about the introduction, features & working of the module. Earlier we have only a single setup where user can define whether he/she want to give an error when there is mismatch in quantity or cost. So it was applicable for all the PO screens and also for quantity and cost. But this is become rigid method and user cannot setup different type of restriction on each screen so we are come up with enhancement in 3 way PO matching which is quit flexible for the users to setup different types of restrictions/validations on each screen of PO.
New Stuff: Validate Item Segment in Sage 300 ERP

Let’s see the new enhancement in the Add-on module “Three Way PO matching”.
1. Provided the separate setup for cost and Quantity.
2. Provided separate level of tolerance in restrictions.
Please refer the below screen shot.
1.GK-OPTIONIn the above screen you can see, there is separate setting for Quantity and cost restriction.
This will allow Administrator to make a separate lock/validations on quantity and cost .The logic is provided in both transaction for PO receipt and PO invoice. Also Tolerance option is separately provided for all four transaction. With the help of this option user can setup the tolerance percentage.
For E.g. if we have created PO entry with ordered qty 100 and cost 100 , extended cost is 10000, on that if we set the tolerance with 10% on qty and cost of PO receipt level and PO invoice.2. NEW OPTION SCREENAt PO receipt screen, it will allow to save the PO Receipt /PO invoice entry if we entered quantity is up to or equal to 110 with PO cost 1003.QTY OF PO RECEIPTOR quantity 100 with Cost upto or equal to 110.
4.COST OF PO RECEIPTElse if we entered Quantity /cost more than tolerance Quantity/cost then in that case system will throw an error as shown in below screen shot

5. ERROR OF GK

In this way, we can setup different validation option for each screen with this enhancement and flexibility to the users to setup 3 way PO matching.

Item Wise Tolerance in Three way PO Matching

As per Our last blog  3 Way Matching PO Receipt  we understand how 3 way PO matching module restrict user to enter more quantity and cost in receipt and Invoice screen by configuring 3 way PO matching in option screen. Now we are come up with new feature i.e. Item wise tolerance level for receipt as well as on invoice transactions in PO module.
In our earlier blog, we seen that how user can set the tolerance percentage which will be applicable for all the Items entered for Receipt or Invoice. This become rigid method when it comes to the requirement where tolerance needs to be different for every items. So to overcome this Greytrix have introduce Item wise tolerance percentage for receipt and Invoices transactions in PO.

If you refer the below screen shot of option screen where we have added a checkbox ”Item wise Tolerance ” so that user can either set item wise tolerance or can use the single tolerance percentage.

GK-OptionNow there will be question in a mind for an existing user that how can we set detail wise tolerance. So for that we are using an optional field ” TOLERANCE” which is assign to item optional field where user can define the value for the tolerance percentage which can be flowed from item optional field to PO receipt and Invoice details optional field. Please refer below screen shot for your reference.

You can say this is the default tolerance percentage define on Item master but even user can modify the value during the transaction to have that flexibility to the users.
So as per the configuration done 10% is defined for an Item. So during PO transaction by default 10 % tolerance percentage will be populated on the PO detail optional field and user can edit this tolerance percentage during the transactions. Whenever user will do PO receipt or PO invoice transaction, program will first check whether the tolernace setting is detail wise or header wise, on the basis of setting define and tolerance value, program will verify the PO quantity and throw a message whenever applicable. Refer below screen shot.
